Job description

Scheduling Coordinator

Make a difference behind the scenes. Be the person who makes great care happen.

At Qualicare Calgary Home Care, our mission is simple: make lives better.

We help clients living with medical illnesses and age-related challenges receive the care they need while giving their families peace of mind.

As a locally owned and operated Qualicare franchise, we're part of a trusted North American home care organization—but we're also a close-knit local team that knows the importance of supporting one another. We believe great care starts with a great team, and our Scheduling Coordinators are an essential part of that team.

If you're organized, caring, resourceful, and someone who genuinely enjoys helping people, this could be the role for you.

Your Day: Where People, Schedules & Great Care Come Together

As a Scheduling Coordinator, you'll be at the center of our day-to-day operations. You'll connect clients with the caregivers who can best support their needs, keep schedules running smoothly, anticipate what's coming next, and help our team respond when plans change.

You'll work closely with our Care Coordinator and HR Coordinator, as well as caregivers, clients, and families, to ensure the right people have the right information at the right time. Together, you'll help create a seamless experience for both our clients and our care team.

No two days are exactly the same—and that's part of what makes the role rewarding.

What You'll Do
  • Connect clients with care by coordinating caregiver schedules that meet each client's needs and care plan.
  • Be the First point of contact answering Qualicare inquiries and setting a tone for the Quality of our services and people while problem solving and or directing calls
  • Work closely with the Care Coordinator to understand client needs, changes in care requirements, and priorities when building and adjusting schedules.
  • Collaborate with the HR Coordinator to support caregiver availability, staffing needs, onboarding information, documentation, and other team requirements.
  • Keep the big picture in view by monitoring referrals, client volumes, staffing levels, and upcoming scheduling needs.
  • Be the calm in the busy moments by responding quickly and thoughtfully to client and caregiver questions, changes, and unexpected challenges.
  • Stay one step ahead by anticipating staffing needs and identifying potential scheduling gaps before they become problems.
  • Keep everyone connected by making sure important information is received, documented, and communicated clearly—whether it comes by phone, email, electronically, or in person.
  • Help keep our records on track by assisting with tracking and validating client-related documentation.
  • Listen and learn by checking in on client satisfaction and helping us understand what is working well and where we can do better.
  • Turn challenges into solutions by responding promptly to incidents, complaints, and compliments, documenting them thoroughly, and ensuring the Care Coordinator has the information they need.
  • Support our caregivers by being a reliable point of contact and helping them navigate schedule changes, client needs, and day‑to‑day challenges.
  • Bring your own ideas to the table. We value people who notice opportunities to make things easier, better, and more efficient.
What You'll Bring to the Team

You don't need to have every box checked to be successful here. We're looking for someone who brings the right combination of heart, organization, communication, and problem‑solving ability.

You are someone who:

  • Genuinely enjoys helping people and making a difference in their day.
  • Builds positive relationships naturally with clients, families, caregivers, and team members.
  • Is highly organized and has an exceptional eye for detail.
  • Can juggle multiple priorities without losing sight of what matters most.
  • Enjoys solving problems and doesn't panic when plans change.
  • Thinks ahead and is naturally proactive—you see the potential issue before it becomes the actual issue.
  • Communicates clearly, professionally, and compassionately.
  • Has strong customer service skills and understands that every interaction matters.
  • Can work independently while also being an engaged and supportive team member.
  • Is comfortable working in a fast‑paced environment where priorities can shift.
  • Has strong computer skills and is comfortable using Microsoft Windows applications.
  • Has experience in healthcare or a related environment.
  • Has experience with scheduling software (an asset, but not essential).
Who You Are

You're the kind of person who gets satisfaction from making things work.

You can look at a complicated schedule and see the solution. You can have five things happening at once and still make someone feel heard. When a caregiver calls with a challenge, you don't just see a problem—you see an opportunity to find a solution. And when a client or family member needs help, you understand that a quick, caring response can make a meaningful difference.

You're organized, but you're also a people person. You're confident, but you're compassionate. You take your work seriously, but you enjoy being part of a team that supports one another and finds joy in the work we do.

Most importantly, you want your work to mean something.

At Qualicare Calgary, the work you do every day directly impacts the lives of our clients, their families, and the caregivers who support them.

Why Qualicare Calgary?

We believe that taking care of our clients starts with taking care of our people.

When you join our team, you'll have:

  • Full‑time hours
  • Competitive wages
  • Medical and dental benefits
  • A supportive and collaborative team environment
  • Continuing education and learning opportunities
  • Career advancement opportunities
  • Free education and training through the QPath Career Pathways Program
  • The opportunity to do meaningful work that makes a difference in people's lives

You’ll also be joining a locally owned team with the support and resources of a trusted North American home care organization.

Ready to Make a Difference?

If you’re looking for more than a job—if you want to be part of a team that cares deeply about people, takes pride in doing things well, and finds joy in making lives better—we’d love to meet you.

Come help us make great care happen.
