Consisting of three key brands - FASTEN Packaging, Orchard Custom Beauty, and Roberts Beauty - IBG helps businesses create quality beauty products. From concept and design to getting products on shelves and online, we can support retailers, brands, and wholesalers with everything they need to get ready for retail.

We are currently looking for a Buyer who will be responsible for managing the full lifecycle of purchase orders, from supplier coordination to shipping, ensuring all customer requirements and project specifications are met. As the Buyer, you’ll support a portfolio of clients requiring a high attention to detail, responsiveness, and a strategic mindset in managing supplier relationships and order execution.

IN THIS ROLE, YOU WILL:

  • Collaborate with Product Developers (PD) and Project Managers (PM) to ensure customer POs align with project scope and requirements, and confirm supplier PO details.
  • Build and maintain strong relationships with both the key account and suppliers.
  • Act as the main point of contact, ensuring smooth communication and collaboration.
  • Use a customer centric approach by understanding the key account’s specific needs, preferences, and expectations.
  • Approve purchase orders in NetSuite and manage the open order report, coordinating with suppliers for updates and resolving discrepancies.
  • Request, review, and label pre-production/production samples from suppliers, ensuring approval by QA, PM, and clients, and communicating any changes or approvals to suppliers.
  • Ensure product specifications, pricing, and order details are accurate. Minimize errors that could impact the key account’s inventory or sales.
  • Participate in weekly critical path meetings, providing updates on open orders and coordinating with QA for inspections and testing.
  • Monitor costs, adjust specifications and costings, and pursue better pricing when needed, including initiating vendor claims if required.
  • Oversee shipping documentation (commercial invoice, packing list, BOL) and coordinate shipments with traffic, freight forwarders, and suppliers, ensuring timely deliveries.
  • Work with accounting to initiate supplier payments and ensure all production shipments are released once inspections are passed.
  • Take a proactive approach in identifying and resolving any supply chain issues and anticipate potential challenges and develop contingency plans.
  • Negotiate pricing, terms, and delivery schedules to meet the company’s and key account expectations.


About You

  • You have a bachelor’s degree in supply chain management, business, or a related technical field
  • 2+ years of procurement experience (considered a bonus if within the beauty industry)
  • Experience with NetSuite, Write, Smartsheet, Microsoft office, and project management software is an asset
  • You have exceptional time management skills and able to prioritize urgent tasks while managing multiple orders, deadline, and requests efficiently
  • You’re adaptable and flexible - you’ll need to quickly adjust to changes in demand, product assortments, or supply capabilities
