Pollard Banknote Limited is seeking a Proposal Specialist to craft compelling RFP/RFI responses that showcase our products and expertise. You will work with subject matter experts across the business to develop compliant, high-quality proposals in a deadline-driven environment.

The role requires strong writing, business acumen, and attention to detail, plus the ability to coordinate inputs, manage timelines, and communicate with stakeholders to win multi-year contracts.

Qualifications

• 3+ years of professional experience leading proposal content and writing.
• Strong business writing and ability to translate complex concepts into persuasive content.
• Experience coordinating multiple stakeholders and managing deadlines.
• Familiarity with RFP/RFI processes and compliance requirements.

Responsibilities

• Research RFP/RFI requirements and write clear, persuasive content addressing project needs.
• Self-review content for accuracy, clarity, and alignment with goals.
• Ensure formatting and submission in line with guidelines and templates.

What You'll Do

• Research and understand assigned RFP/RFI requirements, then write clear, persuasive content that makes the strongest possible case for Pollard — addressing project-specific considerations and ensuring compliant, complete responses in a deadline-driven environment.
• Perform thorough self-reviews of written content for accuracy, clarity, flow, and alignment with project goals.
• Ensure that all assigned content is formatted and submitted in accordance with RFP/RFI guidelines and internal templates and instructions.
• Support and manage assigned proposal-related projects by facilitating meetings, coordinating inputs, managing timelines, and communicating with stakeholders.
• Communicate and collaborate effectively with team members, subject matter experts, and other stakeholders to gather, clarify, and synthesize input—identifying the strategic story hiding in the details, into accurate, compliant written content.

What You'll Bring

• 3+ years of professional experience with demonstrated ownership of projects and deliverables.
• Strong business writing skills, including experience developing long-form, client-facing content and persuasive business narratives.
• Project management experience, coordinating multiple stakeholders, priorities, and deadlines.
• Strong organizational and problem-solving skills, with the ability to navigate ambiguity in a fast-paced environment.
• Proficiency with Microsoft Office and AI tools, particularly Word; experience with PowerPoint, SharePoint, Smartsheet, Copilot, ChatGPT, or Claude is an asset.
