Lanark County Interval House and Community Support is seeking a Business & Operations Administrator in Carleton Place, ON. This full-time, on-site role supports daily operations, records management, procurement, and governance documentation across four sites.

You will collaborate with leadership and staff to ensure client-focused, organized operations, maintain filing systems, and support Board activities. Prior experience in non-profit governance and trauma-informed care is valued.

Qualifications

  • Experience supporting a Board of Directors, committees, or governance activities is an asset.
  • Experience in a non-profit or charitable organization is an asset.
  • Experience supporting fundraising initiatives or donor relations is an asset.
  • Proficient in Sage Accounting software and Microsoft Office Suite.
  • Knowledge of bookkeeping principles and account reconciliation.

Job description

Company Description Lanark County Interval House and Community Support provides emergency shelter and ongoing support programs for individuals experiencing or fleeing domestic violence. The organization focuses on safety, advocacy, and practical assistance for women and children, offering trauma-informed, client-centered services. Staff work collaboratively with community partners to improve access to resources and promote violence prevention. Team members contribute to a supportive, respectful environment where confidentiality and dignity are prioritized for all service users.

Role Description The Business & Operations Administrator is a full-time, on-site role located in Carleton Place, ON, supporting the smooth functioning of organizational operations and administration. This position manages day-to-day office activities, including scheduling, record-keeping, data entry, and maintaining accurate files and databases. The role coordinates operational processes such as purchasing supplies, supporting financial tracking, assisting with reporting, and ensuring policies and procedures are followed. The Administrator responds to inquiries, assists staff with administrative needs, and supports program operations with documentation, logistics, and basic communications. This role works closely with leadership and frontline staff to ensure efficient, organized, and client-focused operations.

  • Provide administrative and operational support to ensure the smooth functioning of organizational activities.
  • Maintain office organization, including managing office supplies, coordinating equipment maintenance, and overseeing general correspondence.
  • Coordinate property and facility administration, including managing maintenance requests across our 4 sites, managing vendor relationships, and record management.
  • Technology oversight, in coordination with external IT Consultant.
  • Prepare correspondence, reports, presentations, policies, and organizational documentation.
  • Provide administrative support to the Board of Directors, including preparing agendas and board packages, and maintaining governance records.
  • Support the Board and committees with administrative and governance-related requirements, ensuring accurate records and timely communication.
  • Maintain filing systems and organizational records.

Qualifications

  • Experience supporting a Board of Directors, committees, or governance activities is a considered an asset.
  • Experience in a non-profit, community-based, property management, or charitable organization is an asset
  • Experience supporting fundraising initiatives, donor relations, or event coordination is an asset.
  • Proficient in using Sage Accounting software, and Microsoft Office Suite (Excel,
  • Knowledge of bookkeeping principles, financial recordkeeping, and account reconciliation practices.
  • -Excellent written and verbal communication skills, and strong attention to detail and commitment to accuracy.
  • Strong interpersonal and relationship-building skills with the ability to work effectively with board members, donors, tenants, volunteers, vendors, community partners, and staff.
  • Knowledge of, or willingness to engage in, trauma-informed care and crisis intervention training.
  • Demonstrated capacity to work from a trauma-informed, ARAO, feminist framework.
  • Current first aid training and Vulnerable Sector Check

Rate: $31.71 per hour – unionized position
