Job Summary
This level is a senior supervisory position which assists the Store Manager in the administration and operation of the retail sales floor. Primary responsibilities include all aspects of the daily operation of the shopfloor including coordinating retail sales, supervising the sales staff, monitoring and enhancing customer service, coordinating the merchandising and maintenance of the retail floor, supervising the online orders desk, supporting with special events, maintaining in-stock inventory integrity, training, coaching and supervising retail floor merchandising staff, and being a liaison with the Buyers and support areas of the store.
Organizational Status
Reports to the Store Manager. Generally, assists in the supervision and direction of a large number of full-time and part-time staff, and specifically directs activities of the retail floor team.
Work Performed
General Duties:
- Supervises the retail sales floor staff by coordinating the staff scheduling for the retail floor to ensure appropriate staff coverage at all times, motivating and coaching staff to improve performance, and participating in the recruitment process;
- Coordinates retail floor probationary reviews and developmental reviews and makes recommendations to the Store Manager when action is required;
- Contributes to generating sales on the retail floor by demonstrating proper selling techniques, providing sales training to staff and assisting the Manager in developing programs to reward sales achievement;
- Monitors customer service standards on the selling floor to ensure that the standards are maintained and handles customer relations issues and problems by initiating appropriate action;
- Monitor customer service and store merchandising standards and suggests ways to improve these standards;
- Coordinates special events in the store including arranging for special displays, equipment (av, tables, chairs, etc.) and extra staff as required;
- Monitors inventory levels and supervises inventory control. Participates in the counting and documentation of annual inventory;
- Authorizes special prices and/or quantity discounts on quantity sales; authorizes mark-up, mark-down and transfers of stock; consults with Buyers as required to address unusual any requests;
- Recommends new and revised systems and procedures as necessary;
- Maintain strong relationships and communication with Buyers with regards to in-stock integrity and procurement of ongoing general merchandise and seasonal product assortments. Also liaises with the warehouse staff to ensure that the appropriate products are available for sale, works with the Buyers to coordinate tradebook returns and to complete merchandising projects such as the placement of shelf tags each term;
- Maintains current knowledge and expertise in retail industry by attending trade shows, conferences and related seminars;
- Assists Store Manager in establishing goals and objectives for the retail floor; participates in long-range planning, the development of the store’s marketing strategy and the development and review of store policies and procedures;
- Work with the Manager on the development of training programs; provide ongoing training and development for the retail floor staff in the areas of selling skills, customer service, product knowledge, merchandising and new equipment and procedures. This includes facilitating and coordinating the training programs as appropriate;
- Maintains vigilance at all times to ensure the safety of staff and customers and security of University property. Reports any unusual occurrences affecting security or safety to Supervisor;
Online Desk:
- Coordinates the fulfillment and picking of online orders at the online desk. Ensures proper verification, documentation and billing of orders;
- Monitors back-orders and expedites, cancels order or provides alternatives to customers as appropriate;
- Ensures order database is maintained accurately for marketing and audit purposes;
- Assists satellite Bookstores with their order fulfillment operations as required;
- Liaises with other Bookstore departments to ensure online information is accurate;
- Coordinates order returns process;
- Performs basic troubleshooting of order fulfillment and e-commerce systems and reports all systems problems to IT department;
- Ensure payment settlement or authorization with Bookstore payment gateway;
Merchandising:
- Coordinates the functions on the retail floor including the merchandising. Ensures that the Bookstore’s merchandising standards are maintained in all areas of the store. Responsible for ensuring that all displays are properly signed;
- Provides merchandising training and expertise to retail floor merchandising staff;
- Consults with Managers, the marketing team and the Buyers in order to coordinate visual displays that support store merchandising, promotional and sales goals;
- Collaborates with Buyers to ensure effective merchandising and display of products throughout all Bookstore departments, by reviewing tasks, requirement and priorities;
- Assists in designing the layout on the retail floor including spacing and positioning of high impact displays attraction layout;
- Develops and assists in maintaining store merchandising standards;
- Responsible for installing seasonal and theme displays that coordinate with marketing events in the Bookstore;
- Responsible for the restocking team on a daily basis and deploys and redeploys staff to ensure goals are achieved;
- Assists in the development of the capital equipment budget for the retail area. Purchases products and equipment required for visual displays and merchandising, as per assigned budget;
- Buys, organizes, and maintains equipment used for visual displays in order to keep them in good working order.
- May perform any of the duties at lower levels of classification
- Carry out any other related tasks as necessary in keeping with the qualifications and requirements of the job.
Consequence of Error/Judgement
The nature of this position requires responsibility for supervision, sales and administration of the
retail sales floor. Exercises judgment based on extensive knowledge of policies, procedures, and
the overall objectives of the UBC Bookstore. Participates in making decisions regarding the planning and organization of the retail floor.
Supervision Received
Works under minimal administrative direction; carries out supervision and sales responsibilities
independently within approved guidelines; works with the Store Manager and the Director on the development of policy and procedures. Works from written procedures and oral instruction.
Supervision Given
May be responsible for supervision of a large group of employees at lower classification levels; assists with staff selection, training, allocating and checking work and periodically evaluating performance. Expected to supervise using a team based coaching approach.
Minimum Qualifications
High school graduation and a minimum five years of related experience or an equivalent combination of education and experience.

office equipment;
Proficient typing ability.
