Bilingual Receptionist for leading not-for-profit community services client, downtown Toronto office.

Job Type: Temporary.

Initial Term: June 2, 2025 to August 15, 2025, with possibility of additional extension.

Compensation: $30.90 per hour.

Regular Work Hours: From 9 am to 5 pm not including 1 hour unpaid lunch break, Monday to Friday (35.0 work hours per week).

Work Location: 100% onsite at client's downtown Toronto office, near TTC station.

Responsibilities Summary:

Provide courteous and efficient facilitation of staff and visitors to an active, high volume, reception area; expedite steady flow of internal and external communication, such as visitors, clients, staff, messengers and delivery services, and provide coverage to central switchboard on a rotational basis. Ability to work in both French and English is preferred.

Reception Desk

  • Receive and greet clients and visitors and monitor movement of same by maintaining a reception register.
  • Coordinate vehicle bookings and equipment, and cleaning and maintenance of same.
  • Assist with booking and tracking courier package deliveries.
  • Coordinate and monitor meeting room bookings, and assists in review and inspection of meeting rooms and reception area to ensure they are tidy and well organized.
  • Dispense and track cheques, food vouchers and other items for pick up at reception desk.
  • Maintain bulletin boards, display cabinets and feedback box, as directed.

Switchboard

  • Receive; screen and direct all calls, both external and internal, using a telephone console.
  • Close switchboard at the end of regular business hours.
  • Inform IT Department of changes to staff extensions and information, and report telephone problems for necessary actions.
  • Redirect employment applications to online application system.
  • Additional Reception desk and Switchboard responsibilities as required.

Qualifications:

Education: Highschool diploma and relevant work experience.

Preferred Work Experience: At least 3+ years of experience as a Receptionist, handling a busy front desk and central switchboard.

Preferred Sector Experience: Community services agency, medical office, front-line service desk, or equivalent work experience preferred.

Technical and Language Skills Requirements:

  • Proficiency with MSOffice applications, including Word, Excel, Outlook (will be tested).
  • Strong data entry skills and attention to detail (will be tested).
  • Proficient English communication skills, both written and verbal, including satisfactory business writing skills and professional telephone manners. Written English may be tested.
  • Verbal fluency in French preferred. All candidates presented as Bilingual French-English must complete a satisfactory online French fluency evaluation.

  • Pleasant and courteous, with strong interpersonal skills and ability to work cooperatively with a diverse range of staff and clients.
  • Ability to work under pressure, handling a high volume front desk and busy phone line. Proficient de-escalation skills.
  • Ability to work flexibly and handle various business assignments according to service needs.
  • Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
