Adecco is looking for an Executive Assistant- Bilingual for a full-time role for our Public Sector client based out of Ottawa, ON. The Ideal candidate must have a Reliability Status Clearance or be eligible for one. The chosen candidate will be onsite.
The Executive Assistant- Bilingual will have the following responsibilities :
- In support of the strategic pillars to strengthen community connections through transformative art experiences.
- Build a collection and program that inspire human connection; and to empower, support and build a diverse and collaborative team
- Manages, organizes and coordinates the administrative function of the office of the Director, Curatorial Initiatives.
- Provides administrative support by preparing and screening all correspondence, arranging travel schedules and meetings, maintaining current files, and organizing the day-to day-operations of the office.
- Coordinates Curatorial Acquisition Committees and Board Acquisition Committees and all administrative activities associated with acquisitions of art.
- Will produce documents for the Board of Trustees and the annual report.
- Coordinates meetings, prepares briefing materials and presentations, and takes minutes when required.
- Will prepare agendas, reports and proposals.
- Maintains a filing system and provides budget support.
- Provides a broad range of administrative and support duties of a highly responsible and confidential nature.
The Executive Assistant- Bilingual must meet the following Mandatory Requirements :
- Post-secondary secretarial or administrative diploma or an acceptable combination of education, experience and training.
- Solid experience with arranging travel schedules and meetings.
- Solid experience with expenses and other related tasks.
- Knowledge of Crown corporation structure, the Treasury Board Secretariat and the Canadian Heritage Portfolio an asset.
- Minimum of 7 years of experience providing administrative and communications support at the executive level
- Experience in a museum / cultural environment an asset
- Knowledge of Windows applications (Excel, Word, Adobe Pro, PowerPoint, Outlook).
- Strong ability to communicate effectively both verbally and in writing in both official languages.
- Strong ability to work independently and under pressure, in a fast-paced and high-demand environment, and to prioritize workload as well as meet tight deadlines.
- Flexibility, team player, customer and result-oriented, tact, discretion, and confidentiality.
- Excellent organizational, anticipation and analytical skills;
- Ability to work well under pressure;
- Rigorous and attentive to detail;
