As an Assistant Property Manager, you will play a key role in the smooth and effective operation of a commercial real estate portfolio located in Toronto's financial district. You will collaborate closely with internal teams, tenants, and contractors to deliver exceptional property management services that align with BGO’s standards of excellence and sustainability values.
Tenant & Property Management
Support all aspects of tenant engagement and property upkeep:
Act as liaison with tenants, contractors, building operators, and accounting teams in a professional and courteous manner.
Conduct and document regular inspections of buildings, common areas, and vacant units.
Oversee tenant satisfaction surveys: coordinate distribution, analyze results, communicate findings, and ensure timely follow-up on concerns.
Maintain up-to-date tenant contact records and collect tenant insurance certificates.
Assist with coordination of emergency responses, including tenant and contractor communications.
Support tenant move-ins and move-outs, including checklist compliance and welcome procedures.
Monitor service requests and follow through to ensure compliance with service standards.
Support tenant appreciation initiatives and on-site events.
Operations & Contract Oversight
Ensure smooth property operations and vendor performance:
Assist in the tendering and administration of service contracts; maintain contract summaries.
Coordinate sustainability efforts, such as Fitwel Viral Response, BOMA BEST, and ForeverGreen certifications.
Facilitate landlord and tenant construction and capital project coordination, including bid management and execution support.
Contribute to financial stewardship and reporting processes:
Assist in the preparation and input of annual operating budgets.
Track tenant insurance and monthly sales information.
Review and code accounts payable in Perceptive, ensuring timely processing.
Support AR collection efforts as required.
Collaborate with Property Administrator to ensure timely and accurate rent cheque deposits.
Prepare monthly owner reports, analyze financials, and generate variance commentary.
Review and distribute annual/interim rent and year-end recovery statements.
Monitor lease-related payments such as tenant allowances and progress billings.
Technology & Systems Proficiency
Use Yardi software to support accounting, leasing, and document management.
Embrace technology to improve efficiency and service delivery.
