This position is for an Assistant Property Manager for Royal Bank Plaza in downtown, Toronto.

About You

The Assistant Property Manager is responsible for assisting in the management of Royal Bank Plaza including the tenant experience, physical condition, and financial performance of the building in accordance with applicable management contracts. You will have the opportunity to share your innovative ideas to continually improve how we manage Royal Bank Plaza.

In This Role:

Marketing:

  • Manage and oversee tenant and community events.
  • Work closely with third party vendors to execute building signature events.
  • Oversee the day-to-day management of building website and social media.
  • Key point of contact for all building amenities, including the gym, bike cages, Terrace, and Urban Lounge.
  • Other duties as required.

Operations:

  • Establish and maintain ongoing relationships with retail tenants as the first point of contact to understand and address their needs, concerns and resolutions.
  • Management of the gym and bike facility contract. Work closely with the third-party manager by meeting with them regularly to review monthly statistics and revenue. Inspect the gym and bike cages, and complete equipment audit. Provide tenants tours of the gym and bike facility.
  • Oversee storage requests. Reach out to tenants proactively to renew their agreements. Provide tenants tours of the storage facilities.
  • Managing and drafting all new storage agreements and telecom licenses along with renewals and terminations.
  • Conduct property inspections with the intention of identifying maintenance issues or safety concerns that could negatively impact the tenant experience.
  • Complete all required documents and coordinate tenant move in & move out (walk through, elevator booking, lease requirements, key and access card turn over, etc.).
  • Develop and maintain Tenant Manual.
  • Assist in tendering contracts, obtaining supplier and contractor quotes.
  • Assist in preparation and submission of industry awards and property designations (BOMA, LEED etc.).
  • Other duties as required.

Accounting:

  • Review and approve open purchase orders under $10k, ensuring coding is correct as per the budget.
  • Work with Property Administrator on AR collections and inform Manager of any AR concerns and oversee the collection of rent from retail tenants inclusive of percentage rent.
  • Assist in income statement variance analysis, AR commentary, and general content of monthly reports.
  • Review and analyze utility accounts, and monthly meter reading and report any anomalies.
  • Possess an understanding of property accounting and the ability to interpret financial data. Assist in preparation of the annual budget, reforecasts, and business plans.
  • Other duties as required.

What You'll Bring:

  • Minimum of 3 years related work experience in property management, preferably in a class “A” commercial/mixed used building.
  • Post-secondary education in related field a bonus.
  • Computer proficiency in MS Office (Outlook, Word and PowerPoint) and especially strong skills in Excel.
  • Experienced with YARDI and other property management related software programs.
  • Working towards CPM or RPA would be considered an asset.
  • Excellent client relations skills both with owners and tenants.
  • Ability to deliver excellent customer service at all levels of the organization and with external partners.
  • Possess strong organizational, time management and project management skills.
  • Demonstrate ability to work both independently and within a team environment.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Exhibit a high level of professionalism and excellent interpersonal skills.
  • Strong relationship-building ability, proactive, results-oriented, and resourceful.
  • Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail.

Bonus Skills and Experience

  • Consistent track record to pick up different software quickly.
  • Experience with contract and leasing agreements preferred.
