About this Role

Reporting to the Property Manager, the Assistant Property Manager assist in overseeing the daily operations of residential and/or commercial properties. Key responsibilities include assisting with tenant relations, handling maintenance requests, coordinating property inspections, managing lease agreements, and ensuring compliance with property regulations. Support the budgeting, financial reporting, and rent collection processes with a quality approach to all employees, customers, subcontractors, tenants, managers and suppliers.

Key Responsibilities
  • Collaborate with the property manager and building operators to support the management of residential and commercial properties in accordance with the contract and approved annual budgets; ensuring properties are well-maintained and compliant with safety and regulatory standards.
  • Address tenant inquiries, responding to concerns and complaints to support tenant satisfaction.
  • Schedule and supervise contractors, vendors, and suppliers for pre-approved work.
  • Issue purchase orders, process invoices and tenant work orders while ensuring accurate coding and approvals are in place.
  • Oversee rental collection and manage delinquent accounts.
  • Assist in preparing budgets, financial reports, and expense tracking.
  • Conduct regular property inspections to ensure compliance and safety.
  • Prepare various correspondences to residents, maintaining all documentation records.
  • Support the property manager with maintaining records and handling correspondence.
  • Maintain online database records updated with tenant information, utility meter information, parking information etc.
  • Oversee changes of tenancy/ownership and associated payment arrangements.
  • Other duties as requested as required.
  • Administer the monthly Rent Roll and support additional tasks as assigned by the Property Manager.
Education and Experience Requirements
  • Post-secondary education in a related field.
  • 2+ years of experience in Property Management or Office Administration.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills with the ability to multitask and meet deadlines.
  • Professional, discreet, and able to work both independently and in a team.
  • Yardi experience considered an asset.
Physical/Sensory Effort and Work Environment
  • Sitting or standing for extended periods at a workstation.
  • Manual dexterity required to use desktop computer and peripherals.
