Job summary

Duties and Responsibilities

The Applicant Processing Coordinator–Undergraduate and Professional Programs (APC-UPP) is responsible for supporting the accurate and efficient progression of applications received through the Ontario Universities’ Application Centre (OUAC) and other admission pathways, from initial application through to admission decision. The incumbent processes application documents and manages applicant files for a broad range of undergraduate admission streams, including transfer, internal, out-of-province, School of Continuing Studies pathways, visiting students, mature, and other specialized applicant groups, as well as professional program admission streams administered by Admission Services. Reporting to the Manager, Applicant Processing and Secondary School Student Advisor, and working closely with Admission Counsellors, the Assistant Registrar–Admission Services, and other Admission Services staff, the incumbent ensures applicant files are managed accurately, efficiently, and in accordance with established admission policies, procedures, and timelines.

In addition to applicant processing responsibilities, the incumbent provides guidance and support to prospective students and applications, admission stakeholders, front-line communications, assists with training and day-to-day support of work-study, contributes to reporting and continuous improvement initiatives, and assists with annual recruitment events and operational priorities within Admission Services. The successful candidate will be able to explain admission requirements, application procedures, deadlines, outstanding documents, offer conditions, and next steps with tact, diplomacy, and sound judgement. They must be comfortable responding to sensitive, complex, or emotionally charged inquiries while applying University policies and requirements consistently and fairly.

Requirements

This position requires in-person work at the University of Guelph. The successful candidate must be available to work on site as required to support applicant processing, front-line service, team collaboration, training, recruitment events, and operational needs. Some evening or weekend work may be required during peak periods or for major admission and recruitment-related events.
