Job summary

Canada’s National Ballet School (NBS) in Toronto is seeking an Administrator for Comprehensive Dance Programs. You will provide administrative and operational support across Young Dancers and Adult Ballet programs, coordinating schedules, records, and communications while delivering responsive service to students and families.

Responsibilities include attendee tracking, invoice processing, and collaborating with internal teams to ensure smooth program delivery.

Responsibilities

  • Coordinate studio reservations, A/V setup, and other event logistics as required.
  • Maintain departmental schedules, meetings, travel and other admin commitments.
  • Prepare student reports and liaise with the Registrar’s Department regarding records.
  • Provide timely and professional customer service to students, families and staff.
  • Support communications, reports and administrative materials for the department.
  • Assist with performances, auditions, workshops, special events and program activities.
  • Maintain confidentiality of participant and departmental information.

The Role

Reporting to the Head of Comprehensive Dance Programs, the Administrator provides administrative coordination and operational support for NBS’s Comprehensive Dance Programs, including the Young Dancers Program and Adult Ballet Program. The Administrator plays a key role in ensuring programs are delivered efficiently, consistently, and in alignment with NBS policies and departmental priorities.

This position supports program scheduling, student records, reporting, communications, event logistics, and day-to-day administrative operations. As a primary point of contact for students, families, teachers, and other constituents, the Administrator provides responsive and professional customer service while ensuring inquiries and concerns are addressed in a timely manner. The role also works closely with internal departments and program leadership to coordinate information, maintain accurate records, support events and performances, and contribute to the successful delivery of program activities.

Major Duties and Responsibilities

As Administrator, Comprehensive Dance Programs, you will provide administrative and operational support across the department, including:

  • Supporting the administration of Young Dancers Program and Adult Ballet class schedules, attendance tracking, auditions, assessments, and related student activities
  • Coordinating studio reservations, A/V setup, and other event logistics as required
  • Maintaining departmental schedules, including meetings, travel, and other administrative commitments
  • Coordinating administrative requirements for performances and demonstrations, including student lists, schedules, casting information, chaperoning logistics, and event documentation
  • Preparing student reports by collecting, formatting, inputting, and editing teacher comments
  • Liaising with the Registrar’s Department regarding registration, auditions, student records, and program information
  • Acting as a primary point of contact for students, families, teachers, and other constituents, providing timely and professional customer service
  • Responding to participant questions and concerns, following up on issues, and escalating matters to the appropriate staff member when required
  • Assisting with departmental communications, reports, and administrative materials
  • Supporting the Head of Comprehensive Dance Programs with departmental priorities, projects, timelines, and administrative requirements
  • Coordinating administrative workflows and providing day-to-day guidance to part-time administrative staff and volunteers as required
  • Maintaining departmental records, filing and retrieval systems, and supplies inventory
  • Collaborating with internal departments to support website updates, marketing materials, and program communications
  • Supporting the timely processing of invoices and departmental expenses
  • Assisting with performances, auditions, workshops, special events, and other program activities
  • Providing administrative and logistical support to artistic staff to facilitate the successful delivery of classes and program activities
  • Maintaining confidentiality and exercising discretion when handling participant and departmental information
Qualifications/Skills/Experience

Education:
  • Post-secondary degree or equivalent professional experience
  • Education, student services, office administration, or a related field considered an asset
Experience:
  • Minimum three years of experience in an administrative or related position
  • Experience with data entry, records management, reporting, and database systems
  • Experience providing customer or student service in a fast-paced environment
  • Experience supporting events, programs, or multiple administrative priorities considered an asset
Skills & Abilities:
  • Strong organizational and time management skills, with the ability to manage multiple priorities and competing deadlines
  • Excellent communication, customer service, and interpersonal skills
  • Strong attention to detail and proofreading skills, with a commitment to accuracy
  • Proficiencywith Microsoft Office Suite
  • Familiarity with relational databases and database management systems considered an asset
  • Demonstrated professionalism, discretion, and ability tomaintainconfidential information
  • Strong problem-solving and judgement skills, with the ability toidentifywhen matters require escalation
  • Ability to work collaboratively with students, families, teachers, artistic staff, and internal departments
  • Flexible and adaptable approach to supporting program needs, including occasional evenings and weekends
Compensation:

Salary Range:$49,000annually,commensuratewith experience andalignedwith internal equity.
