The Department of Pediatrics is seeking a highly skilled Administrative Support V to provide senior-level administrative support to multiple physicians within the Pediatric Intensive Care Unit (PICU), including the Section Chief. In this role, you will coordinate section and committee meetings, support physician onboarding, organize educational rounds, and manage a variety of physician administration activities. Responsibilities include preparing annual Clinical ARP reports, tracking monthly FTE reporting, ensure ROCA accuracy and process physician on-call payments, maintaining block schedules, and processing extender payments. You will also contribute to ongoing section initiatives and special projects. The successful candidate will possess strong organizational, communication, and problem-solving skills, with the ability to work independently, exercise sound judgment, and manage multiple priorities in a fast-paced academic healthcare environment. Knowledge of Alberta Health Services, the University of Calgary, and academic medicine is considered a strong asset. As the first point of contact for physicians and the PICU section, professionalism, discretion, and a commitment to AHS values are essential.Hours of work: Monday to Friday, 8:00 a.m. to 4:15 p.m. A hybrid work arrangement is available, with the opportunity to work remotely one day per week.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Completion of a Medical Office Assistant Diploma/Certificate, Business Administration Diploma/Certificate or equivalent of 3 years of progressive senior administrative experience. A minimum of 2 years’ experience in a healthcare administrative role, including calendar management, minute taking and agenda preparation and physician scheduling. CV maintenance experience required. Must have demonstrated attention to detail and strong written and verbal communication skills. Proficiency in basic accounting and expense management. Proven ability to handle sensitive and confidential information with discretion and integrity. Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and SharePoint.
Five years of full-time experience in a senior administrative capacity in a health care setting. Experience with event planning. Experience with database and/or website management. Experience with physician and medical learner scheduling. Preference given to individuals with knowledge of ARP Reporting, physician and resident on-call payments, and medical terminology.
