Job Overview

Under the supervision of the Public Health Administrative Supervisor, performs administrative functions such as reception, typing, filing, mail processing, meeting arrangements, office equipment operation, client intake, and timekeeping.

Responsibilities
  1. Provide reception services, answer calls, direct visitors, and relay information.
  2. Type technical and non-technical materials, prepare informational packages.
  3. Maintain filing systems for various records.
  4. Process incoming and outgoing mail, couriers, and reports.
  5. Manage office supplies and stationery levels.
  6. Arrange meetings and special functions, including booking rooms and preparing notices.
  7. Operate office equipment and perform minor maintenance.
  8. Assist with client intake, scheduling, and documentation.
  9. Perform timekeeping functions, including payroll coding and discrepancy resolution.
  10. Perform other related duties as required.
Qualifications

Education and Experience: Grade 12, completion of an Office Administration Certificate program, plus 1 year of recent related experience or equivalent.

  • Effective communication in English, both verbal and written.
  • Interpersonal and conflict resolution skills.
  • Problem-solving, decision-making, and sound judgment.
  • Initiative, organization, and workload management.
  • Ability to work independently and collaboratively.
