Job summary

AgeCare seeks an Administrative Services Coordinator, Legal Operations to provide administrative and operational support to the Legal team at the Calgary corporate office. You will handle contract processes, docs, research, and project coordination, ensuring efficient legal operations and responsiveness to stakeholders.

You will work with the General Counsel & Vice President, Legal and Corporate Services, supporting policy administration, governance activities, and cross-functional initiatives.

Qualifications

  • 3–5 years of progressive experience in a legal department or similar setting.
  • Experience in healthcare sector is an asset.
  • Strong ability to manage documents, contracts and records meticulously.
  • Demonstrated organizational and prioritization skills with multiple priorities.
  • Ability to work independently with limited day-to-day guidance.

Responsibilities

  • Coordinate legal intake and contract processes including approvals and renewals.
  • Support corporate transactions, due diligence and governance activities.
  • Manage litigation tracking, confidential files, research and reporting.
  • Support policy administration with templates, inventories and approvals.
  • Coordinate legal team projects, including process improvements and tech tools.
  • Prepare correspondence and documentation to support legal and business needs.
  • Build relationships with internal/external stakeholders and handle requests as contact.
  • Identify issues and opportunities for improvement and adapt to priorities.

The Opportunity

The Administrative Services Coordinator, Legal Operations provides administrative and operational support to AgeCare’s Legal team, working closely with the General Counsel & Vice President, Legal and Corporate Services and other legal professionals. This role supports a broad range of corporate and health law matters, including document and contract management, drafting and review, research, project coordination, file and records management, policy support, and responding to information requests from internal and external stakeholders. Working with limited guidance, you will help identify needs, resolve routine issues, and ensure effective and efficient legal operations. This position is a member of the administrative team supporting the Executive and provides back up coverage as needed. This includes support for other administrative professionals and reception functions during absences or peak workload periods.

What You Will Do
  • Coordinate legal intake and contract processes, including requests, approvals, renewals, obligations, and contract records.
  • Support corporate transactions, due diligence, governance activities, corporate records, and coordination with external counsel.
  • Manage litigation tracking, confidential legal files, document collection, research, reporting, and legal spend administration.
  • Support policy administration, including maintaining templates, inventories, repositories, and coordinating review and approval processes.
  • Coordinate Legal team projects, programs, and initiatives, including process improvements, technology solutions, and standardized procedures.
  • Prepare correspondence, reports, and documentation to support legal and business requirements.
  • Develop and maintain effective relationships with internal and external stakeholders and serve as a key point of contact for legal requests.
  • Identify issues and opportunities for improvement, adapt to changing priorities, and proactively support effective risk, change, quality, and safety practices.
What You Bring
  • Post‑secondary education in legal studies, business administration or a related discipline.
  • A legal assistant diploma or relevant undergraduate degree is an asset.
  • 3–5 years of progressively responsible experience in a legal department, law firm, professional services organization or similar private or public sector setting of significant size, complexity and diversity is preferred.
  • Experience in the healthcare sector is an asset.
  • Strong commitment to operating within a team environment and the ability to work with others to achieve common goals.
  • Demonstrated ability to work independently with limited day-to-day guidance, exercise sound judgment and appropriately elevate matters when required.
  • Demonstrated ability to take ownership of processes and responsibilities from initiation through completion, including proactively managing follow-up and deadlines.
  • Well‑developed organizational and prioritization skills, with the ability to manage multiple concurrent matters and competing priorities.
  • Exceptional attention to detail and accuracy in handling legal documents, contracts, records, and confidential information.
  • Strong proficiency with Microsoft Office, particularly SharePoint, Word, Excel, Visio, and Adobe.
  • Ability to quickly learn new business and legal technology.
