Provides assistance to the department head in administrative areas. Assists in the completion of the departments daily operations by performing assigned tasks various office functions and duties in an accurate and timely manner as they pertain to the running of the department in a smooth and organized fashion. This is a responsible position that may involve supervision. Works with minimal instruction or supervision.

Responsibilities

Administration :

Type and proof-read correspondence forms and other documents

Assist in basic accounting functions shipping and receiving reconciliations invoicing data entry

Project Management support :

Assisting with projects as needed (i.e. Obtaining quotes organizing and following up on scheduled maintenance and inspections etc)

Assisting Project Managers with printing scanning organizing documents

Co-ordinate with Project Managers to process orders.

Preparing purchase orders under the guidance of the production managers and general manager

General office :

Order office supplies and maintain inventory

Assisting in keeping the office organized

Reception : Thanks

Greeting visitors to the office with a professional first impression

Opening and distributing mail

Requirements

Have concise communication skills in English verbal and written

Experience in Microsoft Office programs : Word (Mail Merge) creating specialized documents; Excel (formatting spreadsheets and basic to intermediate formulas. Outlook (managing mail and contacts tasks and reminders)

Ability and willingness to quickly learn and navigate other software programs

Customer service-orientated comfortable and confident with phone communication

Follow directions accurately and timely

Be attentive to detail in producing quality work

Skilled at prioritization and time management

Able to work independently and with a team

Experienced working in a professional office

Assets

Experience in preparing customs documents certificate of origin and requests

SAP and / or JobBOSS experience

Experience in metal fabrication facility
