Job description

My Client is an established Calgary-based company serving customers throughout Western Canada. They are seeking a capable and highly organized Administrative Associate.

This position is well suited to someone with a positive attitude, an entrepreneurial mindset and a genuine interest in helping a business operate effectively. The successful candidate will support daily administration, coordinate appointments, respond to customer inquiries and assist the management and operations team.

We are looking for a thinker and problem-solver—not someone who simply identifies issues. The right person will take initiative, consider possible solutions and help move matters forward.

There is meaningful room for professional growth as the individual learns the business, demonstrates capability and assumes additional responsibility.

Key Responsibilities
  • Respond professionally to customer inquiries by telephone and email.
  • Schedule and confirm appointments, meetings and customer follow-ups.
  • Maintain calendars and help coordinate management priorities.
  • Prepare correspondence, reports, forms and other business documents.
  • Enter and maintain accurate customer, supplier and operational information.
  • Support customer-service, sales and administrative follow-up.
  • Organize electronic and paper records.
  • Monitor outstanding requests and ensure commitments are followed through.
  • Assist with internal communication and coordination.
  • Identify administrative or customer-service issues and recommend practical solutions.
  • Help improve procedures, organization and workflow.
  • Provide general administrative support to management and other team members.
  • Perform other responsibilities as the position develops.
The Ideal Candidate

You are organized, dependable and comfortable working in a busy entrepreneurial environment. You take ownership of your responsibilities and do not wait to be reminded about every follow-up.

You bring:

  • Previous administrative, office or customer-service experience.
  • Excellent spoken and written English.
  • Strong organizational and time-management skills.
  • Professional telephone and email communication.
  • The ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and accuracy.
  • Sound judgment and an ability to handle information confidentially.
  • Confidence dealing with customers, suppliers and employees.
  • A positive, respectful and solutions-focused attitude.
  • An entrepreneurial mindset and willingness to take initiative.
  • The ability to identify an issue, consider possible solutions and recommend a practical course of action.
  • Competence with Microsoft Outlook, Word and Excel.
  • The ability to learn new products, systems and processes.
  • A willingness to accept feedback, continue learning and grow with the company.

Experience in distribution, wholesale, retail equipment, sales administration or a related business would be an asset but is not mandatory.

Compensation and Benefits

The company offers:

  • Compensation of $23-31 per hour, based on experience and demonstrated capability.
  • Company benefits following successful completion of three months of employment.
  • Two weeks of paid vacation annually.
  • Training and support to learn the business.
  • A stable, professional and team-oriented working environment.
  • Opportunities to develop professionally and assume greater responsibility.

The successful candidate should be available to begin within approximately two to three weeks.
