Job summary

Job Description

Sinai Health is looking for an Administrative Assistant to support our Department of Surgery.

The Administrative Assistant is an integral part of a busy and dynamic clinical practice within the Department of Surgery at Mount Sinai Hospital. In this role, you will exercise sound judgment and independence while managing daily administrative activities. You will demonstrate a strong commitment to quality customer service, applying excellent problem-solving and communication skills to ensure the success of a physician’s clinical practice within the Department of Surgery at Mount Sinai Hospital.

Responsibilities include:
  • Scheduling patient appointments for clinics or operative procedures
  • Preparing charts for daily clinics and ensuring all results are filed on charts
  • Reviewing and transferring messages to physicians with patient charts for follow-up; preparing charts for new patient referrals as required
  • Retrieving and releasing information documents from patient charts to forward information to other physicians; preparing charts for patient rounds
  • Maintaining physicians' calendars and schedules; processing all dictated clinical notes (e.g., fax to referring physicians)
  • Establishing forms, tables, spreadsheets, etc., to capture monthly statistics
  • Functioning in a public relations role with both “walk-in” and telephone clients; providing timely, friendly, and informative service
  • Collaborating with other administrative support staff
  • Communicating and maintaining working relationships with several institutions
  • Participating in other miscellaneous administrative duties as assigned
Job Requirements:

Mandatory:

  • Successful completion of a college diploma from an accredited educational institution
  • Minimum of two (2) years of related experience, preferably in a clinic/health environment
  • Applicants with proven equivalent recent training and experience may be considered
  • Experience with various EMRs and booking systems

Preferred:

  • A college diploma in Medical Office or Business Administration
  • Proficiency with medical terminology and medical dicta-typing
Skills and Knowledge:
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook
  • Strong work ethic; positive, client-focused attitude; professionalism; dependability; commitment to outstanding customer service
  • Excellent written/oral communication and interpersonal skills; ability to convey factual information and detailed explanations effectively
  • Good time management, organizational, and self-planning skills; flexibility to adjust work schedules according to changing priorities; ability to meet deadlines and produce high-quality work
  • Ability to make decisions, exercise good judgment, discretion, and initiative when dealing with confidential information or inquiries
  • Satisfactory work performance and attendance record
