Job summary

Ainslie Street Dental is seeking an Administrative Assistant to support day-to-day operations, patient communication, scheduling, reception, and general admin. The role emphasizes professionalism, organization, adaptability, and teamwork in a supportive workplace.

The wage range for this Dental Administrator position is $17-$27/hour depending on skills, experience, and location. The schedule includes evenings and a Saturday, with candidates must be legally authorized to work in Canada.

Qualifications

  • Minimum 1 year of Dental Administration experience is required.
  • Experience with dental software programs is required.
  • Clinical background is considered an asset.

Responsibilities

  • Welcome and assist patients upon arrival, creating a warm and positive first impression.
  • Optimize the daily appointment schedule to ensure full utilization with minimal gaps.
  • Effectively manage the recall system and maintain accurate, up-to-date patient records.
  • Handle incoming patient calls and inquiries, including appointment scheduling, confirmations, changes, and cancellations.
  • Process referral letters and other patient correspondence from providers; organize, manage, and file all patient records and charts.
  • Proactively manage potential cancellations and address objections to encourage patients to keep their appointments.

As an Administrative Assistant, you’ll support the day-to-day operations of the practice through patient communication, scheduling, reception, and administrative tasks. Schedule:
  • Monday to Wednesday: 4:00 PM - 8:00 PM
  • Friday (Weeks 2 and 4): 10:00 AM - 4:00 PM
  • Saturday (Week 2): 9:00 AM - 1:00 PM

Your Role:
  • Welcome and assist patients upon arrival, creating a warm and positive first impression
  • Optimize the daily appointment schedule to ensure full utilization with minimal gaps
  • Effectively manage the recall system and maintain accurate, up-to-date patient records
  • Handle incoming patient calls and inquiries, including appointment scheduling, confirmations, changes, and cancellations
  • Process referral letters and other patient correspondence from providers; organize, manage, and file all patient records and charts
  • Proactively manage potential cancellations and address objections to encourage patients to keep their appointments
  • Complete patient billing following treatment, process payments, submit insurance claims, and respond to fee inquiries in a professional and positive manner
About You:
  • Minimum 1 year of Dental Administration experience is required
  • Experience with dental software programs is required
  • Clinical background is considered an asset
