Job summary

The British Columbia Securities Commission (BCSC) is seeking an organized Administrative Assistant to support the Criminal Investigations Branch in downtown Vancouver. This role focuses on administrative and coordination tasks across investigations, witness interviews, legal documentation, travel arrangements, and records management.

Qualifications

  • Secondary School graduation and a minimum of four years’ administrative assistant experience, or an equivalent combination of education and experience.
  • Excellent Office 365 skills including experience with word processing and spreadsheets.
  • Ability to optimize department effectiveness by applying excellent time management skills and good judgement to prioritize and complete work assignments.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and client service skills with the ability to build effective working relationships.
  • Legal administrative assistant experience and/or education is an asset.

Responsibilities

  • Administrative Support: Prepare and maintain a variety of correspondence and reports.
  • Interview and Investigation Coordination: Coordinate on-site and off-site witness interviews; arrange facilities and travel logistics.
  • Legal and Court Process Support: Assist with applications before Judicial Justices and service of legal orders; liaise with court registries and stakeholders.
  • Reporting and Information Management: Support RTCCs; transfer and organize electronic evidence and disclosure materials; monitor statistics.
  • Travel and Expense Administration: Coordinate travel arrangements; process expenses and reimbursement claims; arrange payments for witness attendance.

Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Criminal Investigations Branch. This role is ideal for an experienced administrative professional who thrives in a fast-paced environment, enjoys coordinating multiple activities simultaneously, and takes pride in delivering exceptional administrative support.

As a key member of the team, you will provide comprehensive administrative and coordination support for investigations, witness interviews, legal documentation, travel arrangements, records management, and reporting activities. The successful candidate will play a critical role in ensuring branch operations run efficiently and effectively.

Key Responsibilities

Some of your key responsibilities include:

Administrative Support
  • Prepare and maintain a variety of correspondence and reports.
  • Coordinate internal meetings.
  • Process incoming correspondence and respond to routine internal and external inquiries.
  • Maintain branch procedures and administrative processes.
Interview and Investigation Coordination
  • Coordinate on-site and off-site witness interviews.
  • Arrange interview facilities, court reporter services, travel, and related logistics.
  • Prepare interview materials, exhibit books, and supporting documentation.
  • Manage interview exhibits and records in accordance with established procedures.
Legal and Court Process Support
  • Assist with applications before Judicial Justices and the service of legal orders.
  • Maintain records and documentation related to court applications and orders.
  • Liaise with court registries, legal stakeholders, and internal teams as required.
Reporting and Information Management
  • Support the preparation and coordination of Reports to Crown Counsel (RTCCs).
  • Transfer and organize electronic evidence and disclosure materials.
  • Monitor and maintain statistical information related to investigations and branch activities.
  • Coordinate updates to public-facing information and court proceeding records.
Travel and Expense Administration
  • Coordinate travel arrangements for staff and witnesses.
  • Process travel expenses and reimbursement claims.
  • Arrange payments related to witness attendance and associated costs.

Salary Range

The salary range for this position is $55,506 (minimum) - $65,303 (midpoint) - $75,098 (maximum)

The starting salary for this position will be determined considering the successful candidate’s relevant experience and education, salaries of other employees in the same salary range, market conditions, and other relevant factors. Starting salaries are normally below the salary band midpoint.
