Job summary

The University of Regina is seeking an Administrative Assistant to provide essential administrative support within the Centre for Continuing Education. You will be the first point of contact for students, partners and visitors, handling inquiries, registrations and confidential records with care.

Strong organizational skills, familiarity with office software and experience in event coordination will help you thrive.

Qualifications

  • Grade 12 supplemented by a recognized business course.
  • Minimum of three years’ experience, preferably in a university environment.
  • An equivalent combination of education, training and experience may be considered.

Responsibilities

  • First point of contact for students, partners, visitors in person.
  • Assist students by answering inquiries regarding programs and resources.
  • Provide first level advice to students and families regarding records, registration, eligibility and program opportunities.
  • Process registration for non-credit areas and processing of payments/invoices.
  • Audit, adjust and set up private lessons in the registration system.
  • Support for student recitals and compiling student information for programs.
  • Coordinate with Conservatory Liaisons and Accompanists for recitals.
  • Book rooms for CCE as needed.
  • Prepare statistical reports (non-credit registration related).
  • Assist with event planning and term-end performances and Celebration of Excellence.

What You’ll Do:
  • First point of contact for students, partners, visitors in person
  • Assist students by answering inquiries regarding programs and resources
  • Provide first level advice to students and their families regarding records, the registration process, eligibility and potential program opportunities.
  • Process registration for non-credit areas and processing of payments/invoices.
  • Responsible for the audit, adjustment and set-up of private lessons in registration system.
  • Responsible for support on student recitals such as checking registration lists and compiling student information in order to create recital programs.
  • Direct contact for Conservatory Liasons and Accompanists who are responsible for each recital.
  • Responsible for booking rooms as needed for CCE
  • Prepare statistical reports (non-credit registration related).
  • Perform miscellaneous job-related duties as assigned.
  • Act as the first point of contact for Conservatory Private Lesson and Group Class Instructors by tracking changes to instructor schedules and updating information
  • Assist group instructors by ensuring that requested materials for classes are available, as required.
  • Administrative support for the student award program
  • Assist with event planning and preparation for term end performances and annual Celebration of Excellence Perform other Student and Instructor duties as assigned.

Position Requirements
What You’ll Bring to this Position:
  • Grade 12 supplemented by the successful completion of a recognized business course

Skills That Will Ensure Your Success in the Role:
  • Ability to make administrative/procedural recommendations on sensitive and confidential issues. Ability to maintain confidentiality of records and information.
  • Experience in records management and tracking of information.
  • Knowledge of musical instruments and the requirements of private music lessons.
  • Knowledge of musical nomenclature in order to produce accurate and print-ready recital programs.
  • Proven understanding of the purpose and format of private music instruction.
  • Demonstrated knowledge and skill in the use of Microsoft Office (Word, Excel, Access, and Outlook-GroupWise) and in complex databases, such as Banner, Destiny One
  • Experience providing support with event planning.
  • Knowledge of University policies and procedures.
  • Knowledge of the University community, programs and administrative offices.
  • Ability to communicate effectively, both verbally and in writing.

Physical Demands Pay Grade CUPE Phase 4 Salary Range $45,591.00 - $61,570.60 Annually Status Term Work Hours 8:15 AM – 4:30 PM
