Job summary

Origin is a forensic investigation firm in Montreal seeking an experienced Administrative Assistant to support multiple assignments and professional staff.

You will handle invoices, documentation, and reports, transcriptions, proofreading, meeting minutes, and coordinate admin tasks across departments.

Qualifications

  • DEC in languages, office administration, or related field.
  • At least five years of experience in a similar position.
  • Excellent command of French and English, both spoken and written.
  • Very good command of Microsoft Office.
  • Experience in legal, scientific, and/or insurance fields is a plus.

Responsibilities

  • Provide administrative support for various assignments as needed.
  • Prepare, submit, and follow up on invoices for professional work.
  • Assist marketing and social media teams and management.
  • Support for special projects.
  • Transcribe, proofread, and format reports; deliver to external clients.
  • Proofread texts to ensure high-quality language and grammar.
  • Attend meetings, take notes, and draft summaries/minutes.
  • Perform related tasks to support managers and administrative operations.

Job description

Origin is a forensic investigation firm specializing in post-loss investigations in fire and electrical, civil engineering, mechanical engineering, materials, metallurgy and chemistry. Our multidisciplinary team of engineers, chemists and technologists examines incidents objectively, working closely with all stakeholders to establish the facts, determine causes and set out clear, evidence-based conclusions that make informed technical, legal and insurance decisions possible.

Main Duties
  • Provide administrative support for various assignments and responsibilities, as needed by the organization;
  • Prepare, submit, and follow up on invoices related to professional work;
  • Provide administrative support to the marketing and social media teams, as well as to management;
  • Provide administrative support for special projects;
  • Transcribe, proofread, and format reports prepared by professional staff, then ensure their delivery to external clients;
  • Proofread texts and documents to ensure high-quality language and grammar;
  • Attend certain meetings, take notes, and draft meeting summaries or minutes;
  • Perform any other related tasks deemed relevant to actively support managers and administrative operations.
Required Qualifications
  • College diploma (DEC) in languages, office administration, or a related field;
  • At least five (5) years of experience in a similar position;
  • Excellent command of French and English, both spoken and written;
  • Very good command of Microsoft Office;
  • A plus: experience in the legal, scientific, and/or insurance fields.
