POSITION OVERVIEW

The City of Maple Ridge is seeking an experienced Administrative Assistant to provide support to the Planning Department.

We are looking for a self-motivated professional who thrives in a fast-paced environment. The ideal candidate has excellent interpersonal and communication skills as well as extensive knowledge of office practices, procedures and equipment. Your adaptability, resourcefulness, good judgment and ability to multitask will allow you to confidently handle the daily responsibilities and duties of this diverse position.

This role involves providing a range of clerical and administrative support services. Key responsibilities are to assist staff and management in the Planning Department by handling office tasks and supervising other clerical staff, making decisions on routine matters. You will be required to follow a general work plan set by a supervisor and handle important clerical duties and use your judgment in day-to-day activities, staying within set procedures. For major issues or policy decisions, you will consult with a supervisor.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Considerable knowledge of business English, spelling, punctuation, and arithmetic;
  • Considerable knowledge of the applicable rules, regulations, policies and procedures governing departmental operations;
  • Considerable knowledge of modern office practices, methods and procedures;
  • Sound knowledge of elementary accounting principles and practices and of applicable departmental budget classifications and procedures;
  • Ability to perform assigned duties and work under minimal supervision and to make decisions in accordance with applicable rules, policies and procedures;
  • Ability to establish and maintain effective working relationships with a variety of internal and external contacts, to explain and interpret rules and regulations governing departmental operations;
  • Ability to compose non‑routine correspondence, to prepare, process and maintain a variety of records and reports and to perform bookkeeping procedures;
  • Ability to supervise, plan, assign and review the work of clerical staff; and,
  • Ability to use various office software applications.
DESIRABLE EDUCATION AND EXPERIENCE

Completion of the 12th school grade including or supplemented by business, bookkeeping and word processing courses; plus, considerable related experience; OR an equivalent combination of training and experience

PREFERRED QUALIFICATIONS:

We are looking for someone that is highly organized and uses judgement and initiative to make decisions in a timely manner.

ADDITIONAL INFORMATION:

This is a temporary position for approximately twelve (12) months which can be concluded at any time.
