Job summary

Bayshore HealthCare in Canada is seeking an organized Administrative Assistant to support the team and keep day-to-day office operations running smoothly.

Qualifications

  • Two years of previous experience as an Administrative Assistant.
  • Excellent written and verbal English communication; French is an asset.
  • Proficiency with Windows applications, databases, email, and internet.

Responsibilities

  • Draft, edit, and prepare correspondence and documents.
  • Create and compile reports and materials as requested.
  • Transcribe and distribute meeting minutes.
  • Screen and redirect incoming phone calls professionally.
  • Manage incoming and outgoing mail and courier services.
  • Maintain mailing lists and databases.
  • Schedule and coordinate appointments and meetings.
  • Provide support to external business associates and clients while maintaining confidentiality.
  • Maintain confidential files and ensure secure handling of sensitive information.
  • Provide coverage for other Administrative roles as needed.
  • Participate in internal and external training or continuing education activities.
  • Support quality improvement initiatives in alignment with Bayshore’s Quality Management System.
  • Adhere to Bayshore policies, procedures, and proactive Health & Safety practices.
  • Perform additional tasks as assigned.

Key Responsibilities

Education
  • Secondary School Diploma
  • Completion of an Administrative Assistant training program is preferred
Experience
  • A minimum of two years previous experience as an Administrative Assistant.
Other Skills and Abilities
  • Exceptional customer relations and teamwork skills;
  • Proficiency in Windows applications, database management, e-mail and the internet;
  • Administrative or executive level writing skills; excellent communication skills using both written and spoken English; French considered an asset
  • Demonstrated ability to establish priorities, handle multiple tasks and work independently and as a team member;
  • Strong commitment to continual learning
