Job summary

As the Human Resources Administrator/Coordinator you will handle or assists with daily HR tasks at the Branch Office, such as onboarding, and maintaining employee records. This important role will receive payroll and benefits questions, reference checks, and assist with Workers Compensation claims. Additionally, you will support with employee discipline, participate in health and safety programs, and help with quality improvement efforts. You will work with the National Development Centre on various projects to ensure everything aligns with company goals. DUTIES AND RESPONSIBILITIES
  • Maintains Field employee human resources files such that all required documentation, including copies of current professional registration, probationary and annual performance reviews, supervisory reports, and continuing education documentation, etc. are included.
  • Process new hires, terminations, resignations, leaves of absence and other employment changes in our HRIS systems
  • Ensures all information retained is accurate and up to date in the HRIS systems and other trackers
  • Runs and prepares reports (i.e., master lists, designations, leaves, and other compliance items)Supports in tracking field staff attendance and drafting applicable letters
  • Fulfills the 30 day employee file audit for new hires and conducts the follow up for missing documentation
  • Provide monthly reports on current / upcoming leaves to the onsite management and scheduling teams Ensure all LOA’s are supported with current documentation, and when applicable, work with the employee on obtaining updated documentation
  • Ensure that all documentation is received and on file prior to an employee’s return to work, including any need to modified work / hours
  • Under the direction of the HRBP, review unapproved leave of absences, following up with employees on their employment intentions, supporting documentation and coordinating return to work as applicable
  • Compose monthly employee newsletter.
  • Works with the Payroll and Benefits Administrator with regards to employee payroll and benefits-related inquiries and assist employees to complete forms.
  • Drafts and sends employee verification letters on request
  • Monitors the ICs HR Mailbox multiple times throughout the day to assign tasks to the applicable HR Coordinator / HRBP / etc. and responds to inquiries as related to the role of the HR Coordinator.
  • Communicate regularily with HRBP as well as other HR Coordinators to review best practices and ongoing process improvements.
  • Participants with the Employee Advisory Committee by attending meetings, taking minutes, creating proposals to be brought to the management team, etc.
  • Supports with all incentive and immigrations programs, including tracking and filing necessary documentation, tracking and responding to inquiries.
  • Supports the CHW program (in applicable locations) with monitoring progress, transferring files and ensuring they are transitioned into the location in a supportive and informative manner by attending meet and greets, answering questions and tracking progress.
  • Maintain current knowledge of provincial legislation relating to Employment Standards, Human Rights, Workplace Health and Safety, and Labour laws; assist to handle real or suspected violations of legislated requirements.
  • Support co‑op/ student placements
  • Participate in ongoing internal and/or external continuing education activities.
  • Adhere to Bayshore Policies and Procedures and educate employees as required, including answering general policy related questions.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participates in proactive Health & Safety activities while performing all duties.
  • Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
  • Participate in the Health and Safety Program as directed by the immediate supervisor
  • Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
  • Promote a workplace culture of support, collaboration, passion and inclusiveness
  • Other duties as assigned.
  • Set up probationary review meetings, assist Managers will completing the assessments and save to employee file
  • Monitor attendance of high-risk employees and communicate via monthly reports to Managers

Education

Completion of a recognized Human Resources certificate or diploma program

Experience

1-2 years of progressive human resources experience.

  • Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format

  • Competency in keyboarding and MS Office
  • Ability to operate all standard office equipment

Fluency in written and spoken English is a requirement, Fluency in French is a requirement for all Quebec locations.
