Responsibilities

  • Provide proactive, hands-on support by anticipating needs and managing daily professional and personal priorities.
  • Manage complex calendars, appointments, and commitments across business and personal domains.
  • Coordinate detailed travel arrangements, itineraries, transportation, and accommodations.
  • Prepare reminders, notes, and daily schedules to support organization and follow-through.
  • Track priorities, commitments, and action items to support clarity and timely execution.
  • Act as a trusted point of coordination for time-sensitive matters, applying sound judgment and ensuring appropriate follow-up.
  • Coordinate and manage personal logistics, calendars, and administrative needs.
  • Manage incoming correspondence and communications, exercising sound judgment to ensure timely, professional responses.
  • Maintain well-organized digital and physical records, documentation, and confidential personal information.
  • Track expenses, manage receipts, and provide support for basic administrative and personal bookkeeping as required.
  • Complete errands and ad hoc support tasks to proactively remove barriers and optimize the CEO’s time.
  • Use appropriate technology and digital systems to simplify and organize recurring personal administrative responsibilities.
  • Use AI and digital tools as part of day-to-day administrative work to improve speed, organization, consistency, and efficiency.
  • Critically review and verify AI-generated content before it is distributed or used to support decisions.
  • Identify repetitive or inefficient administrative tasks and recommend practical ways to simplify, streamline, automate, or improve them using available technology.
  • Use technology to organize information, track commitments, prepare documentation, manage workflows, and improve follow-through.
  • Quickly learn and adopt new software, digital platforms, productivity tools, and AI capabilities.
  • Help establish practical templates, prompts, workflows, and digital systems that make recurring administrative work easier and more consistent.
  • Draft, edit, and coordinate routine communications such as emails, notes, and documentation.
  • Monitor incoming communications, prioritizing and responding as appropriate.
  • Maintain contact lists and relationship details to support continuity and timely follow-ups.
  • Uphold professionalism and confidentiality in all interactions.

Position Overview

Strategic Group is seeking a highly trusted Administrative Assistant to the CEO to provide dedicated, day-to-day personal and administrative support. This role focuses on managing schedules, logistics, communications, travel and personal priorities to ensure well-organized days and reduced administrative burden.

This role is ideal for someone who combines strong traditional administrative skills with exceptional confidence using technology, digital tools, and artificial intelligence. The successful candidate will be expected to actively use AI and other technology to simplify administrative work, improve organization, increase efficiency, and reduce unnecessary manual effort.

The successful candidate is highly organized, proactive, and tech-savvy, with the ability to manage both professional and personal matters with discretion and sound judgment. This position emphasizes practical, hands‑on support rather than corporate governance or executive operations.

Key Responsibilities
Administrative Support

  • Complete ad hoc duties or special projects as assigned, with a solutions‑oriented approach.
Qualifications
  • Experience in an Administrative Assistant, Personal Assistant or similar high‑trust support role.
  • Strong practical experience using generative AI tools in a professional or business environment.
  • Strong technology aptitude and genuine interest in learning and applying new digital tools.
