About The Opportunity
Our client, a growing and innovative professional services organization, is seeking a highly experienced Executive Assistant to support their CEO. This is an exciting opportunity for a senior executive support professional who thrives in a fast-paced environment and is looking to take on a broader, more strategic role.
This position goes well beyond traditional calendar and administrative support. The successful candidate will act as a true partner to the CEO, creating structure around competing priorities, managing executive operations, coordinating complex travel and ensuring commitments are followed through to completion. For the right individual, this role offers the potential to grow into a broader Chief of Staff capacity.
- Own and manage the CEO's calendar, ensuring strategic priorities are reflected and protected
- Proactively identify scheduling conflicts, competing priorities and opportunities, and make recommendations accordingly
- Conduct regular check-ins with the CEO to identify priorities, commitments and outstanding work
- Maintain a centralized system to track commitments, owners, deadlines and priorities
- Proactively follow up with internal and external stakeholders to ensure commitments are completed
- Identify work that can be delegated and source and coordinate appropriate resources
- Coordinate complex domestic travel, including flights, accommodations and logistics
- Research opportunities and key contacts in destinations the CEO is visiting and incorporate networking opportunities into travel itineraries
- Track conferences, memberships, sponsorships, stakeholder relationships and important deadlines
- Support the CEO in building and maintaining key business relationships
- Leverage AI, automation and workflow tools to improve efficiency and ensure priorities do not fall through the cracks
- Act as a trusted partner to the CEO, providing structure, prioritization and accountability in a high-volume environment
About You
- 10+ years of progressive experience in Executive Assistant, Executive Operations, Chief of Staff or a similar senior-level capacity
- Proven experience supporting a CEO, Founder, President or other senior executive
- Experience managing a complex and frequently changing executive calendar
- Experience coordinating domestic and/or international executive travel
- Strong ability to prioritize competing demands and operate effectively in a fast-paced environment
- Demonstrated ability to proactively identify issues and make recommendations
- Strong delegation, resource coordination and project management skills
- Exceptional follow-through and the ability to independently close loops
- Advanced proficiency with AI tools, automation and workflow technologies; experience building AI agents or automated workflows is considered a strong asset
- Excellent written and verbal communication skills
- Highly organized with exceptional attention to detail
- Strong judgment, discretion and ability to manage confidential information
- Comfortable working independently with minimal day-to-day supervision
- Adaptable and comfortable working with shifting priorities
- A calm, confident and solutions-oriented approach
- Experience in a consulting, professional services or entrepreneurial environment is considered an asset
About the Job
This is a full-time, permanent position offering a competitive salary of $90,000 to $120,000 dependent on experience.
While this is a fully remote position, candidates must be based in Ottawa due to occasional in-person support requirements.
