Job summary

SAIGE Homecare is seeking an experienced Administrative & Finance Coordinator to provide financial, administrative, operational, and HR support. The role focuses on bookkeeping, payroll, records management, and cross-system reconciliation to ensure accuracy and compliance.

You will collaborate with Management and nursing staff, maintain HR records in Payworks, and contribute to continuous process improvements in a dynamic home care setting in Calgary.

Qualifications

  • Experience with bookkeeping, Accounts Payable/Receivable, invoicing and payroll.
  • Strong bookkeeping and administrative experience with attention to detail.
  • Ability to review and verify information across multiple systems.
  • Experience with financial records, document management, and reporting.

Responsibilities

  • Monthly bookkeeping and maintenance of accurate financial records.
  • Invoicing, Accounts Receivable and expense processing.
  • Payroll administration and related documentation.
  • Financial filing, document management, and reconciliation.
  • Prepare financial reports for Management and GST/year-end support.
  • Maintain knowledge of CRA guidelines and payroll requirements.
  • Maintain HR and employee records within Payworks; support onboarding/offboarding.
  • Provide administrative support to Management, Nursing, and HR teams.
  • Assist with vendor communication, office operations, and process improvements.

SAIGE Homecare is an established home care agency that has been serving the Calgary community for over 10 years. We pride ourselves on our Nurse Managed Client Centered Care and high level of professionalism.

We are seeking an experienced, organized, and detail-oriented Administrative & Finance Coordinator to join our team. As an integral part of our organization, this position will provide financial, administrative, operational, and HR support to Management and the SAIGE Homecare team.

The ideal candidate will have strong bookkeeping and administrative experience, excellent attention to detail, and the ability to review and verify financial information across multiple systems. We are looking for someone who is proactive, organized, resourceful, and comfortable taking ownership of their responsibilities.

Job Duties Would Include
Finance & Bookkeeping
  • Monthly bookkeeping and maintenance of accurate financial records
  • Invoicing and Accounts Receivable
  • Accounts Payable and expense processing
  • Payroll administration and related documentation
  • Financial filing and document management
  • Review and reconciliation of financial information
  • Cross-checking financial data between AlayaCare, QuickBooks Online, Payworks, and other systems
  • Identifying and following up on errors, omissions, and discrepancies
  • Preparing financial reports and information for Management
  • Maintaining accurate and organized financial records
  • Supporting quarterly GST and fiscal year-end requirements, as applicable
  • Maintaining knowledge of CRA guidelines and federal and provincial payroll requirements
Administrative & HR Support
  • Maintain employee records, documentation, and confidential files
  • Support employee onboarding and offboarding documentation
  • Policy administration, documentation, and record-keeping
  • Maintain HR records and information within Payworks
  • Support implementation and use of the Payworks HR module
  • Track employee certifications, documentation, and renewals
  • Assist with HR compliance and internal policy requirements
  • Prepare reports, spreadsheets, correspondence, forms, and other documentation
  • Maintain organized electronic and physical filing systems
  • Provide administrative support to Management, Nursing, and Human Resources
  • Assist with vendor communication, office administration, and operational requirements
  • Provide technical and software support to the team as needed
  • Support projects, events, orientations, job fairs, and other agency activities as required
  • Identify opportunities for process improvement and increased efficiency
What You Offer
  • 3+ years of experience in bookkeeping, finance, administration, office operations, or a related role
  • Strong working knowledge of QuickBooks Online
  • Experience with bookkeeping, Accounts Payable, Accounts Receivable, invoicing, and payroll
  • Strong attention to detail and ability to identify discrepancies and errors
  • Ability to review and verify information across multiple systems
  • Experience with financial records and document management
  • Experience with Microsoft Office, particularly Excel, Word, and Outlook
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to work independently with minimal supervision
  • Strong problem-solving skills and initiative
  • Ability to manage confidential financial, employee, and client information
  • Ability to prioritize multiple responsibilities and meet deadlines
  • Strong team player with a professional and positive attitude
  • Commitment to maintaining confidentiality and adhering to company policies
Preferred Qualifications
  • Experience with AlayaCare
  • Experience with Payworks and HR administration
  • Experience in healthcare or home care
  • Knowledge of CRA requirements and payroll legislation
  • Experience with GST and year-end accounting support
  • Formal education or training in accounting, bookkeeping, business administration, or office administration
