Job Title: Accounts Payable Specialist

Job Description

As an Accounts Payable Specialist, you will play a crucial role in managing vendor relationships and ensuring timely and accurate payment processing. You will be responsible for reviewing vendor statements, verifying and coding invoices, and maintaining precise financial records.

Responsibilities

  • Review vendor statements and determine invoice status, communicating payment details internally or with external vendors.
  • Verify and code invoices, ensuring accuracy of entries, postings, and required signature approvals.
  • Perform 3-way invoice match for purchase order invoice processing.
  • Respond to phone calls and emails from vendors or other departments regarding the payment status of invoices.
  • Review incoming vendor statements to ensure all outstanding invoices are entered and paid, and request missing invoices as necessary.
  • Investigate payment problems while adhering to corporate Accounts Payable policies and procedures.
  • File and maintain financial information, files, and records in an orderly manner.
  • Effectively manage an Accounts Payable shared email mailbox.
Essential Skills
  • Minimum three (3) years of experience in full cycle Accounts Payable capacity, including understanding of accounting principles and Canadian tax regulations.
  • Proficiency in MS Office, Excel (including v-lookups and pivot tables), and experience with ERP systems such as JDE, Visual, or IFS.
  • Ability to accurately calculate, post, correct, and manage accounting figures and financial records.
Additional Skills & Qualifications
  • A college diploma in accounting, finance, or business is preferred.
  • Experience with JDE, IFS, or Visual ERP systems is advantageous.
  • High level of moral judgment for handling confidential information and monetary transactions.
  • Ability to work to deadlines and manage high volumes effectively.
  • Excellent written and oral communication skills, with the ability to interact with stakeholders at all organizational levels.
  • Solution-oriented with a positive 'can do' attitude and strong customer service focus.
  • Strong interpersonal, written, and verbal communication skills, with the ability to handle confidential information professionally.
  • Ability to prioritize tasks and manage time efficiently.
Work Environment

The position is based in a quiet, open office space with cubicles, accommodating a team of 22 people. 8.5 hours expected in office inclusive of a 30-minute unpaid lunch. Core working hours are from 9 AM to 3 PM, with flexible start times allowing a workday from 7 AM to 3:30 PM. The office provides free on-site parking and is accessible by public transit.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
