Job Description: Administrative and Financial Support Specialist

We are seeking a proactive and detail-oriented individual to support a wide range of administrative and financial activities within our organization. The successful candidate will be responsible for:

  1. Supporting administrative duties and processes efficiently.
  2. Managing financial activities such as Accounts Payable, Accounts Receivable, government accounting, and compliance issues, ensuring adherence to Federal Acquisition Regulations (FAR) and Cost Accounting Standards (CAS).
  3. Supporting the company's vision by facilitating consolidated, simplified, and standardized financial reporting processes.
  4. Providing administrative support for key business processes including the annual operating plan (AOP), strategic plan (STRAP), financial forecasts, and weekly updates.
  5. Coordinating compliance activities related to ISO 9001:2015 with business needs.
  6. Supporting the transition and implementation planning of ERP software.
  7. Managing multiple priorities simultaneously, requiring extensive coordination across managers and time zones.
  8. Scheduling appointments, managing calendars, travel arrangements, expense reports, and supporting team meetings.
  9. Providing support with Excel, MS Project, and PowerPoint as needed.
  10. Handling confidential information with minimal supervision, utilizing extensive knowledge of company operations and policies.
  11. Making complex travel arrangements and managing travel expenses.
  12. Prioritizing tasks effectively and exercising good judgment.
  13. Demonstrating professionalism, motivation, strong problem-solving skills, and effective communication across all levels of the organization.
  14. Managing multiple activities with coordination and follow-through to meet deadlines.
  15. Exhibiting initiative, organizational skills, attention to detail, and a positive attitude.
