Job summary

ICONIX Waterworks in Richmond, BC is seeking an Accounts Payable Administrator to manage vendor invoices for Canadian and US operations, ensuring timely processing, accuracy, and compliance with tax rules.

You will prioritize payments to avoid penalties, reconcile accounts, resolve discrepancies with POs, and support expense report review. The role offers competitive salary, health benefits, and growth opportunities within a Canadian-owned family business.

Qualifications

• 2+ years related experience in accounts payable or finance.
• Experience with AP automation systems.
• Understanding of Canadian and US commodity tax regulations.
• Degree in finance, accounting or related field is an asset.

Responsibilities

• Process vendor invoices and prioritize to avoid penalties and capture early payment discounts.
• Verify calculations, currencies and tax compliance for Canada/US.
• Resolve discrepancies between invoices and purchase orders through internal and vendor communication.
• Negotiate extensions with vendors when payment delays occur.
• Reconcile vendor accounts and statements.
• Maintain positive vendor relationships to ensure timely deliveries.
• Review and approve employee expense reports in cloud-based system.
• Support health and safety duties and act as backup when needed.

Job description

• Processing vendor invoices through our AP automation system for both Canadian and US operations. This may include invoices for products for resale, other goods and services.
• Prioritizing vendor invoices and promptly processing to avoid penalties and take all potential early payment discounts within the allowable period where applicable.
• Ensuring accuracy by verifying vendor calculations, payment currencies and correct tax compliance with current Canadian and US commodity tax regulations.
• Investigating and resolving any discrepancies between vendor invoices and purchase orders by effectively communicating internally with operations and with vendors for quick resolutions.
• Negotiating extensions with vendors if payment delays occur
• Reconciling vendor accounts and statements and resolving any discrepancies.
• Maintaining good relations with vendors to ensure timely delivery of products/services and smooth operations.
• Review, edit, and final approve employee expense reports through cloud base expense management system.
• Finding efficiencies to streamline the workflow to make role and operation’s work smoother and easier.
• Acting as a backup for vacation and/or sick day coverage.
• Participating in health and safety related duties.
• Performing other related duties as required.
