Atlantica is seeking qualified candidates for an Accounts Payable Administrator in Dartmouth, Nova Scotia. The Accounts Payable Administrator is a key member of our Finance team reporting directly to the AP Lead. In this role, you will support Atlantica’s operations by creating and maintaining strong supplier relationships with our clients and contractors.

Based in Halifax since 1966, Atlantica, a member of the Cahill Group, is one of the largest mechanical and electrical contractors in the Maritimes. Equipped with leading-edge technologies, Atlantica’s highly skilled workforce executes a wide range of mechanical and electrical construction projects from design and fabrication to fire protection and maintenance services throughout a building’s life cycle to provide customized solutions to our clients.

Responsibilities

Reporting to the Accounts Payable Lead and working in an exciting and collaborative environment, you will:

  • Process a high volume of vendor invoices and employee expense claims accurately and in a timely manner
  • Match invoices to purchase orders and delivery receipts, verifying approvals and coding.
  • Manage vendor accounts, ensuring timely payments and resolving discrepancies
  • Reconcile accounts payable transactions and vendor statements
  • Prepare and process weekly payment runs (checks, EFTs, wires)
  • Maintain accurate and organized financial records and documentation
  • Support month-end closing by preparing AP accruals and account reconciliations
  • Communicate effectively with internal departments and external vendors to resolve inquiries
  • Ensure compliance with internal controls and company policies
  • Assist with management by providing data on ad hoc requests.
  • Continuously look for process improvements and efficiencies within AP functions
  • Perform other duties as required.

Who are we looking for?

Education And Experience

  • A degree or diploma in Business Administration or Accounting, preferred
  • Two (2) years’ experience with Accounts Payable
  • Financial experience in a multi-company environment is considered an asset
  • Experience and proficiency with MS Office required (Excel, Teams, Outlook, etc.)
  • Experience and proficiency with Jonas Accounting software is an asset
