Role & Responsibilities
We are currently seeking a detail-oriented and knowledgeable Accounting and Payroll Administrator tojoin our Finance & Accounting Team within our Belleville Head office location. Here are some of the things you’ll be working on:
Accounting Administration
- Maintain accurate financial records and data entry
- Understand our accounts payable and accounts receivable process and support the existing roles.
- Support accounts payable, accounts receivable,
- Record certain general ledger entries.
- Prepare monthly, quarterly, and annual financial related reports.
- Complete bank reconciliations and track cash flow.
- Monitor budgets, track expenses, and assist in financial forecasting.
- Assist with tax filings and reporting requirements (e.g., GST/HST, payroll deductions)
- Develop and maintain internal financial procedures and controls.
Payroll Administration
- Manage full-cycle payroll processing for salaried, hourly, and contract employees globally (Belleville, Vancouver, Brisbane, and China). Ensure accuracy, timeliness and compliance with local regulations.
- Maintain and manage Office Timesheets (OTS) - project time tracking software to support accurate payroll and project reporting.
- Enters all source data (such as timesheets, overtime authorizations, rate changes, and other payroll documents) impacting employee pay, and verifies the output before release.
- Reconciles all output to payroll journals and general ledger and prepares all regular and adjusting journal entries.
- Process payroll related changes including promotions, salary adjustments, travel policy compensation, overtime, pension contributions, group benefit deductions, taxable benefits, WSIB, EHT, and year-end T4 reporting.
- Partner with HR to facilitate smooth payroll and benefits coordination
- Maintain accurate, audit-ready payroll records and documentation in accordance with company policies and regulatory requirements.
- Provide front-line support by responding and addressing employee payroll inquiries.
- Assist with other administrative and operational tasks as required to support the broader administration team.
- Accurately document, monitor and generate necessary statutory reports on employee activities, transfer hours, status changes and project allocations for Project Managers and the Resource Planner.
- Must demonstrate the highest level of discretion and maintain strict confidentiality in handling sensitive information.
Qualifications
- Post Secondary Education in Accounting, Payroll or Business Administration or equivalent field.
- Proven experience in bookkeeping, accounting, payroll roles and data manipulation
- Proficiency in accounting software (e.g., QuickBooks, Sage) and strong knowledge of Microsoft Excel.
- Strong knowledge of CRA remittance requirements and payroll best practices
- Attention to detail and excellent organizational skills.
- Knowledge of Canadian tax regulations and payroll systems is an asset.
- Strong communication skills and ability to collaborate with team members.
