Nova Scotia Community College is seeking an Administrative Assistant (CLA3) to provide confidential support to the Dean and the Office on a range of sensitive matters. You will manage calendars, schedules, appointments, and coordinate meetings and related logistics.

You will handle expense claims and invoices, maintain organized filing systems, and act as a key contact for the School of Health and Human Services, delivering professional service to faculty, staff, and students.

Qualifications

  • Post-secondary credential from a Business or Administrative Professional program; HS with significant admin experience also considered.
  • Minimum of three years full-time equivalent admin experience in general office administration and/or Administrative Assistant experience.
  • Proficient with computer applications such as the Microsoft Office Suite, E-mail, SharePoint, MS Teams and Acrobat.
  • Project Management Professional certification would be an asset.
  • Experience processing and tracking DPOs would be an asset.
  • Comfortable working in a digital environment and using technology to enhance the student experience.

Responsibilities

  • Serve as a key point of contact for the School, providing responsive and professional service to faculty, staff, students, and other clients.
  • Oversee the processing and tracking of expense claims and invoices.
  • Maintain accurate and well-organized electronic and hard-copy filing systems.

Salary range: $59,405.17 to $69,888.44 annually

Although this position reports centrally into the IT campus, the Cumberland Campus may also be considered as an alternate work location, subject to space availability and operational requirements.

Qualifications
Qualifications and Occupational Experience:
  • The minimum educational qualification for this position is a post-secondary credential from a Business or Administrative Professional program. High school completion with significant years of administrative experience will also be considered.
  • You have a minimum of three (3) years (full-time equivalent) of recent and related occupational experience in general office administration and/or Administrative Assistant experience. You have specific experience in managing the administration of a fast-paced office.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, E-mail, SharePoint, MS Teams, and Acrobat.
  • Project Management Professional certification and experience would be considered an asset.
  • Experience processing and tracking DPOs would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology to create an exceptional student experience.

Responsibilities
What you will be doing…

As the Administrative Assistant, you will have overall responsibility for the day-to-day administrative functions of the Office of the Dean, School of Health and Human Services. You will:

  • Provide confidential administrative support to the Dean and Office on a range of sensitive and organizational matters.
  • Manage calendars, schedules, and appointments, balancing competing priorities and deadlines.
  • Coordinate meetings and related logistics,
  • Prepare and distribute meeting agendas, materials, and minutes, and coordinate follow-up activities.

  • Serve as a key point of contact for the School, providing responsive and professional service to faculty, staff, students, and other clients.

You are versatile, flexible and experienced in supporting administrative activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within their scope of authority. You will be an integral contact person providing quality service to clients of the School of Health and Human Services.
