Responsabilidades

• Converts the Quotes to Service Order tickets (VSO) with end to end responsibility.
• Communicates directly with the vessel agent daily until 48 hrs before the scheduled attendance date to support planning of the scheduler and Technical Leads.
• Confirms with scheduler / GRP that an engineer is available for the scheduled service and all competencies are meeting the job requirements.
• Ensures all parts will be available/arrive prior to attendance.
• Communicates the order confirmation to the customer together with the engineer name and date of attendance.
• Keeps our customer informed of status update prior to boarding.
• Reviews the Service Report before sending out to the customer to ensure accurate operations and invoicing.
• Ensures the Service Report is sent to the customer within 24 hrs of receipt, with a summary of next steps.

Our ideal candidate is able to work with team members to convert quoted services to executable operations. This candidate will need to have excellent communication skills with internal and external parties to ensure parts, personnel and services are completed on-time, first-time, accurately. Working with Supply Chain and Invoicing team, the Service Coordinator ensures that job completion results in accurate invoicing to the customer and a return of all unused parts.

You will contribute to Americas Operations Teams by delivering top level service on time and with our First Time Right processes. The role sits within Deepsea Operations team and reports to the Operation Manager for Deepsea Services.

What You Will Do

You will:

• Converts the Quotes to Service Order tickets (VSO) with end to end responsibility
• Communicates directly with the vessel agent daily until 48 hrs before the scheduled attendance date to support the planning of the scheduler and Technical Leads
• Confirms with scheduler / GRP that an engineer is available for the scheduled service and all competencies are meeting the requirements of the job
• Ensures all parts will be available/arrive prior to attendance
• Communicates the order confirmation to the customer together with the engineer name and date of attendance
• Keeps our customer informed of status update prior to boarding
• Reviews the Service Report before sending out to the customer to ensure accurate operations recorded and proper Invoicing will be noted
• Ensures the Service Report is sent to the customer within 24 hrs of receipt, together with a summary if needed of next steps (pertaining to follow up services where needed)
• Ensures all associated costs are allocated to the Service Ticket (VSO) is in alignment with the Service Report

Over the first 6 months, the Operations Manager of Deepsea ensures you have the mentorship, training and support to have a long successful career in this industry. Service Coordination is a result of a passion to perform at the best service delivery standards. The Coordinators are the link between our field engineers performing the services and the customer expectations and requirements. Radio Holland stands apart from the other service providers as uniquely skilled in various manufacturers products and services, and your position on this team allows professional skillsets to be grown to support the Americas Operations.

Deliver Results

To make this happen, our candidate must have the following skillsets:

• Invoicing per quote / hrs. on board / part used are accurate and recorded
• Ensures the Service Orders (VSO) is within margin parameters and close where we can or send to business controller for further investigation where necessary
• Optimize our customer experience by cloning tickets for follow up services and ensuring re-assigning to Inside Sales for follow up with the customer
• Always follows up on any service order to close it in time
• Takes the ownership of any warranty case between customer and Radio Holland
• Feels responsible for updating the equipment list after services in the ERP tool to control inventory and accurately account for parts
• Registers all relevant external customer feedback in SharePoint
