The hybrid full-time Program Operations Specialist (POS) will provide support to the program team and will help coordinate and manage various subject-matter projects. Working closely with the Senior Director of Program Operations (Sr. Dir of Program Ops), the Program Operations Specialist will assist with executing against California CASA’s Strategic Growth Plan with a goal to increase the number of children who have access to a CASA volunteer, providing a holistic thought process to all aspects of the Program. CA CASA staff work 100% remotely with no permanent physical office (office equipment provided). Staff are located throughout CA and may require occasional travel. Candidate must reside in California or plans to do so.

Essential Functions
- Collaborate with Sr. Dir of Program Ops to assess local program needs and implement training (webinars, asynchronous, live, etc.), develop resources, appropriate technical assistance, etc.
- Manage and updated the program portal (webpage) to ensure accurate, accessible, engaging and user-friendly access to all resources (trainings, tools, guidebooks, etc.).
- Create and distribute high-quality communications, i.e. training announcements, onboarding guides, program documents used network wide.
- Research, curate, and distribute resources to support operational effectiveness across CASA programs, including guidebooks and toolkits.
- Assist in developing and maintaining training in key areas including effective advocacy, child abuse prevention, trauma-informed approach, culturally responsive and relevant support, etc.
- Assist in the implementation and continuous improvement of the e-learning platform, including onboarding users, uploading content, and resolving issues.
- Support logistics for virtual & in-person events, including scheduling, communications, tech support for webinars/ trainings.
- Identify and coordinate speakers for events, serving as the main point of contact & ensuring seamless experience.
- Complete facilitator training with National CASA and support local programs improve pre-service training. Lead trainings as needed to support local CASA programs.
- Collaborate with the Sr. Dir of Program Ops to identify and address systemic issues in advocacy and operations across the CASA network.
- Facilitate onboarding for new CASA staff and ensure timely integration into the network. (ex. Add to the gaggle listserv, send welcome emails with current resources.)
- Create professional documents used to communicate to the network including but not limited to trainings, guidelines, and other requested documentation.
- Provide high quality technical assistance (training, advice, support, etc.) to better be in compliance with all applicable laws, standards, and best practices.
- Maintain and update organizational listservs and staff contact databases to ensure CA CASA has accurate information across the network.
- Manage the Whova platform for the statewide conference, ensuring sessions, speaker bios, and participant engagement features are effectively used.
- Manage system access and records for systems requiring accurate billing or access controls (e.g., Language Line, CASA University).
- Support statewide workgroups by managing logistics, curating shared resources, and tracking input to improve practice (e.g., youth placed out-of-county). Help recruit and coordinate staff learning cohorts as needed to support peer learning and role-specific development.
Additional Functions
- Participate in CA CASA team meetings and committee meetings as needed.
- Assist with the CA CASA Annual Conference and Events as assigned.
- Perform all other duties as assigned.
Knowledge, Skills, And Abilities
- Strong interpersonal skills and empathic relationship building.
- Ability to communicate effectively both orally and in writing.
- Ability to manage and coordinate multiple projects and meet deadlines.
- Self-directed, with an innovative and proactive approach to problem-solving and discerning judgment.
- Intermediate skills in Microsoft Outlook, Excel, Word, PowerPoint, and calendaring tools.
- Experience in managing volunteers.
- Strong project management experience related to nonprofit or volunteer organizations.
- Experience with CASA or advocacy for children in the child welfare system.
- An intuitive mind for research for materials to enhance the program.
- Ability to create and effectively present training using adult learning principles. Skilled facilitator both in-person and virtually.
- Understanding of National CASA program standards is a plus.
Minimum Qualifications
- Bachelor’s degree in behavioral sciences, Social Work, Public Health, or related field.
- 5 years of paid, professional work experience in a related field.
- Experience at CASA a bonus.
- Leadership experience and competency in all areas of nonprofit management.
- Project management experience preferred.
- Pass background checks in compliance with California Rule of Court 5.655 including LiveScan fingerprinting.
- A valid driver’s license & automobile insurance required.
