The role partners with International HR on recruiting, onboarding, and offboarding, runs payroll through a third-party provider, administers benefits, ESPP enrollment, and handles eSocial submissions.

Qualificações

  • 3–5+ years in a combined HR generalist and administrative or facilities role.
  • Solid working knowledge of Brazilian labor legislation (CLT), payroll processes, eSocial, and termination procedures.
  • Hands-on experience managing third-party payroll and benefits providers.
  • Vendor and facilities management experience.

Responsabilidades

  • Partner with International HR on recruiting, onboarding, and offboarding, with local execution
  • Roll out International HR cycles and initiatives and implement Brazil policies
  • Ensure documented annual goals on record for performance reviews
  • Serve as first local contact for employee relations; escalate to Intl HR as needed
  • Own end-to-end monthly payroll cycle with third-party provider
  • Administer employee benefits and ESPP enrollment and payroll deduction control
  • Ensure timely eSocial submissions and all statutory obligations (FGTS, INSS)
  • Coordinate local recruiting from posting to offer
  • Maintain accurate audit-ready employee records and compliance with CLT
  • Manage master férias records and training requirements
  • Monitor employee satisfaction and organize events; liaise with intranet
  • Manage landlord, facilities, IT coordination with Global IT

The Big Picture:

The Office Coordinator is the single local owner of human resources and office operations for the Alliance Laundry Systems Brazil office (approximately 30 employees). The role ensures accurate payroll and benefits, full compliance with Brazilian labor legislation, a well‑run office, and effective coordination between the local team and the company's international HR, IT, and Legal functions. It reports to the Director, Regional HR (EMEA & LATAM) with a dotted line to the General Manager LATAM, sharing responsibilities between local execution and international policy ownership.

What You'll Be Doing:
International HR Partnership:
  • Partner with International HR on recruiting, onboarding, and offboarding, with International HR owning process and approvals and this role owning local execution
  • Support the local rollout of International HR cycles and initiatives (performance reviews, compensation planning, engagement surveys, talent management), and communicate and implement corporate HR policies in Brazil
  • Ensure every employee has documented annual goals on record to support the performance review cycle
  • Serve as the first local point of contact for employee relations regarding policies, procedures, and employee benefits, escalating to International HR as appropriate
  • Own the end‑to‑end monthly payroll cycle with the third‑party payroll provider, including inputs, attendance records, validation, controls, and error resolution
  • Administer employee benefits (health plan, transportation and meal vouchers) and manage the relationships with benefits providers
  • Administer local participation in the Employee Stock Purchase Plan (ESPP), including enrollment and payroll‑deduction control
  • Ensure timely and accurate eSocial submissions and all statutory obligations (FGTS, INSS, and related)
Employee Lifecycle & Labor Compliance:
  • Manage employment contracts, admissions, and structured onboarding for new hires
  • Manage independent‑contractor (PJ) agreements, including setup, renewals, and compliance, alongside CLT employment contracts
  • Coordinate local recruiting, from job posting through offer
  • Maintain accurate and audit‑ready employee records
  • Ensure ongoing compliance with the CLT and the applicable collective bargaining agreement (convenção coletiva)
  • Maintain the master vacation (férias) control for all office employees, tracking days accrued, taken, and remaining in full compliance with Brazilian law
  • Manage employee training requirements, covering both mandatory certifications and development coordination
Employee Experience & Engagement:
  • Monitor employee satisfaction and lead local actions to improve morale and the workplace experience
  • Organize employee events and company celebrations, and promote them on the company intranet
Office & Facilities:
  • Manage the landlord and condominium relationship, including building communications
  • Oversee office assets, cleaning, routine maintenance, and parking
  • Manage the corporate travel agency relationship, improving service levels and maintaining control over travel usage and spend
  • Select and manage the vendors behind all facilities services
IT Coordination (with Global IT):
  • Provide on‑site coordination and vendor management for local infrastructure, including the local server, in partnership with Global IT
  • Manage provisioning, tracking, and lifecycle of employee equipment (computers and phones), with technical ownership and standards retained by Global IT
  • Serve as the local point of contact for Global IT and Global Legal, ensuring local operations align with corporate policy and standards
  • Other duties as assigned
What You Need to Bring to the Table:
Knowledge/Experience:
  • 3–5+ years in a combined HR generalist and administrative or facilities role, ideally within a multinational subsidiary or a small‑to‑mid-size office
  • Solid working knowledge of Brazilian labor legislation (CLT), payroll processes, eSocial, and termination procedures
  • Hands‑on experience managing third‑party payroll and benefits providers
  • Vendor and facilities management experience
Skills and Abilities:
  • Self‑directed and highly reliable, able to operate as the sole local HR and administrative resource with strong ownership and discretion
  • Strong organization, prioritization, and follow‑through
  • Sound judgment and discretion handling confidential, high‑liability matters (payroll, terminations, employee records)
  • Clear communicator able to coordinate day to day with global functions
  • Working proficiency in Business English (minimum level B2 required)
Education:
  • Bachelor's degree in Human Resources, Business Administration, or a related field
  • Additional certification in payroll or personnel administration (Departamento Pessoal) a plus
  • Familiarity with ERP systems (TOTVS or SAP SuccessFactors a plus)
