Job summary

Jobat is seeking a Fleet Coordinator for an internationally active industrial organisation near Ghent. The role covers fleet management across the EMEA region, including vehicle ordering, registrations, insurance, maintenance, and lease returns.

You will maintain fleet records, handle damages and insurance claims, support onboarding with vehicle allocation and policy communication, and back up indirect procurement. A proactive, process-driven candidate will fit well.

Qualifications

• Experience in fleet management or procurement is preferred.
• Strong organisational and data management skills.
• Ability to coordinate with leasing partners and cross-country teams.

Responsibilities

• As Fleet Coordinator, act as the primary point of contact for fleet matters across EMEA.
• Manage the full vehicle lifecycle including ordering, registration, insurance, maintenance, and lease returns.
• Maintain accurate fleet records covering vehicles, drivers, contracts, mileage and renewals.
• Coordinate damage cases, fines, insurance claims and country-specific fleet requirements.
• Support onboarding with vehicle allocation, documentation, and policy communication.
• Back up indirect procurement and support the purchasing team as needed.
• Drive continuous improvement by standardising processes, developing SOPs and monitoring KPIs.

As Fleet Coordinator your key responsibilities are:

• Act as the primary point of contact for fleet-related matters across EMEA, supporting employees and coordinating with leasing partners
• Manage the full vehicle lifecycle, including vehicle ordering, registration, insurance, maintenance, and lease returns
• Maintain accurate fleet records covering vehicles, drivers, contracts, mileage, and renewals
• Coordinate damage cases, fines, insurance claims, and country-specific fleet requirements
• Support employee onboarding through vehicle allocation, documentation management, and policy communication
• Manage indirect purchasing activities for various categories and provide backup support to the purchasing team
• Drive continuous improvement initiatives by standardising processes, developing SOPs, monitoring KPIs, and enhancing system efficiency

You will be back up of your colleagues from indirect procurment and will report to the head of Supply Chain.
