Optimile NV is seeking a Business Operations Manager to bring structure to scale and partner with the COO to translate strategy into actionable processes across Product, Sales & Marketing, Finance, and Support.

You will own critical workflows, drive cost optimization, and build scalable operations while enabling international growth. Fluency in Dutch and English is required; hybrid work arrangement in Ghent, Belgium is offered.

• 5+ years of experience in Business Operations, Operations Management or Operational Excellence.
• Proven experience leading cross-functional projects and managing organisational change.
• Strong analytical skills with data-driven decision making.
• Excellent organisational skills and multi-priority management.
• Commits to continuous improvement and scalable processes.
• Fluent in Dutch and English.

• Take ownership of operational processes to run Optimile efficiently today and prepare for scale.
• Drive operational excellence by evaluating, optimizing and standardizing core processes.
• Coordinate cross-functional initiatives across Product, Sales & Marketing, Finance, Support, Legal and Procurement.
• Lead improvement projects from idea to implementation with measurable impact.
• Analyze costs and optimize the cost structure without compromising quality.
• Own and operate key workflows, including SIM card infrastructure monitoring.
• Identify risks, strengthen business continuity and implement monitoring mechanisms.
• Build scalable workflows with automation and remove bottlenecks.
• Partner with the COO to translate strategy into executable plans.

Optimile is a leading software company specializing in digital solutions for the electric vehicle (EV) charging industry. Our innovative platforms empower Charging Point Operators (CPOs) and Mobility Service Providers (MSPs) to deliver seamless and efficient EV charging experiences.

As we continue to scale, we are looking for a driven and experienced Business Operations Manager who thrives on bringing structure to complexity, eliminating operational friction and turning strategy into flawless execution.

Your Role

This is a high-impact role with broad visibility across the organization. You'll work directly with the COO and have the opportunity to shape how Optimile operates as we continue our international growth.

What you'll do

As our Business Operations Manager, you'll take ownership of the operational processes that keep Optimile running efficiently today while preparing them to scale for tomorrow.

You’ll:

• Drive operational excellence by evaluating, optimizing and standardizing business-critical processes across the organisation.
• Coordinate cross-functional initiatives between Product, Sales & Marketing, Finance, Support, Legal and Procurement, ensuring seamless collaboration and execution.
• Lead operational improvement projects from idea to implementation, delivering measurable business impact.
• Analyze and monitor operational costs, identify efficiency opportunities and optimize our cost structure without compromising quality.
• Own & operate business-critical operational workflows, including monitoring key operational loops such as our SIM card infrastructure.
• Identify operational risks, strengthen business continuity and implement monitoring mechanisms that safeguard our day-to-day operations.
• Build scalable workflows, introduce smart automation and continuously remove operational bottlenecks.
• Partner closely with the COO to translate strategic priorities into practical, executable operational plans.

• 5+ years of experience in Business Operations, Operations Management or Operational Excellence, preferably within a fast-growing SaaS, technology, scale-up or e-mobility environment.
• Proven experience leading cross-functional projects and improving business processes and managing organisational change.
• Strong analytical skills and the ability to translate data into actionable insights.
• Excellent organisational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment.
• A proactive, hands-on mindset and strong problem-solving abilities.
• Outstanding communication and stakeholder management skills, including the confidence to collaborate with and present to senior leadership and C-level executives.
• A continuous improvement mindset and genuine enthusiasm for building scalable ways of working.
• Professional proficiency in both Dutch and English
