Job summary

Egis is seeking a proactive Workplace Experience Coordinator for our North Sydney office. This on-site role welcomes employees, visitors and clients, shapes office culture and ensures smooth day-to-day operations across administration, facilities and people management.

You will support onboarding, health and safety inductions, events, vendor coordination and travel arrangements. Flexible terms (FT/PT/job-share) available, fostering an inclusive, collaborative workplace.

Qualifications

  • Previous experience in an office, administration or people-facing role.
  • Polished presentation, polite and professional demeanor.
  • Strong written and verbal communication skills.
  • Ability to work proactively in a busy team.

Responsibilities

  • Be the face of Egis, greeting visitors and clients at reception and handling incoming calls during business hours.
  • Provide onboarding for new employees, including WHS induction and security passes, to welcome new starters from day one.
  • Organise internal social events with the Social Committee and support external corporate functions within budget.
  • General office and facilities management, organising repairs and maintenance of assets and equipment.
  • Maintain tidy common areas and meeting rooms; coordinate with IT to ensure assets function.
  • Coordinate deliveries and mail, internal and external.
  • Act as Health & Safety Lead during emergencies, liaising with the crisis management team.
  • Support ESG activities, collect carbon data for the office and help reach carbon targets.
  • Support vehicle fleet administration duties.
  • Manage office costs within budget; assist with expense claims and card reconciliation.
  • Coordinate travel and accommodation as required.

We're looking for a proactive Workplace Experience Coordinator to be the welcoming heart of our North Sydney office. This is an on-site role for someone who genuinely enjoys creating a positive experience for everyone who walks through the door — our people, our visitors and our clients. You'll shape our office culture and keep day-to-day operations running smoothly through the effective management of office administration, facilities and, above all, people.

Key Responsibilities
  • Be the face of Egis, meeting and greeting visitors and clients, ensuring a warm and professional presence at reception during business hours and managing incoming phone calls
  • Provide onboarding to new employees, including workplace health and safety induction and security passes, helping every new starter feel welcome from day one
  • Organise and implement internal social events in coordination with the Social Committee and within budget, and support the coordination of external corporate functions and events
  • General office management, including facility management and organising the repair and maintenance of office assets and equipment
  • Ensure common areas and meeting rooms are neat and tidy, working closely with IT to ensure IT assets are functioning
  • Coordinate internal and external deliveries and mail
  • Perform the role of Health & Safety Lead during emergency events, liaising with the crisis management team in line with the Crisis Management Plan
  • Support Environmental, Social and Governance (ESG) activities, collect carbon data for the office, and work with our team towards achieving carbon targets
  • Support vehicle fleet administration duties
  • Manage office costs within the approved budget, and assist with expense claims and company credit card reconciliation as required
  • Coordinate travel and accommodation as required

Ideally, you will have previous experience in a similar office, administration or people-facing role, and a genuine enthusiasm for creating a great experience for those around you. You will be able to commit to being present at our North Sydney office five days a week.

In addition, you will also have:

  • Prior experience in a similar role, ideally within a professional services or consultancy environment
  • Polished personal presentation and a polite, respectful and professional manner
  • Proficiency with MS Office packages including Word, Excel, Outlook and Teams
  • Effective time management and organisational skills, including the ability to prioritise tasks effectively
  • Strong communication skills, both written and verbal
  • The ability to work proactively within a busy team environment with minimal direction
  • Strong attention to detail
