CBRE Melbourne invites a Workplace Experience Coordinator to deliver world-class service to employees and visitors, coordinating facilities, events, and vendor support in designated buildings.

Based onsite five days a week, you will partner with the Workplace Experience Manager, manage work orders, safety procedures, and reporting to ensure smooth daily operations.

Qualifications

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards.
  • Strong communication to exchange straightforward information.
  • Ability to analyze solutions using technical judgment and precedents.
  • Knowledge of Jira and Google Suite (Docs/Sheets).
  • Excellent organizational skills and inquisitive mindset.
  • Ability to fulfill physical requirements (stooping, standing, lifting 50 lbs+).
  • Strong math skills for percentages, discounts, and markups.
  • Clear, concise communication to convey complex content.
  • Experience in managing client relationships and satisfaction.

Responsibilities

  • Serve as the first point of contact for employees and visitors entering the workplace.
  • Manage janitorial and maintenance work orders and support day-to-day facilities needs; coordinate services.
  • Provide facilities coordination for Melbourne office including work orders and workspace support.
  • Acknowledge inquiries and complaints and provide professional, customer-service driven solutions.
  • Support on-site events in Melbourne including calendar, room setup/teardown, vendor coordination, logistics.
  • Follow property security and emergency procedures to ensure safety.
  • Coordinate with vendors and service providers supporting workplace operations across locations.
  • Communicate clearly within the team and collaborate with the Workplace Experience Manager.
  • Perform duties with defined workflows; solve straightforward problems with limited discretion.
  • Resolve complex problems and identify approaches to achieve team objectives.
  • Oversee all aspects of office logistics; planning, vendor management, minimal disruption to operations.
  • Monitor building operations including waste, recycling, and janitorial services in compliance.
  • Maintain asset data, schedule preventive maintenance, file and track work orders, generate reports.
  • Impact team objectives and related teams; lead by example per CBRE RISE values.
  • Work onsite in Melbourne five days per week to support events; regional travel may be required.

About the Role:

As a CBRE Workplace Experience Coordinator, you'll be responsible for delivering a world-class customer service experience to employees and guests of designated buildings. This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.

What You’ll Do:
  • Serve as the first point of contact for all those entering the workplace, greeting employees and visitors with a friendly and welcoming demeanor.
  • Manage janitorial and maintenance work orders and support day-to-day facilities needs. Coordinate workplace services including mail, office supply inventory, and onboarding support.
  • Provide facilities and workplace coordination for Melbourne office, including work order tracking, vendor coordination, and workspace support.
  • Acknowledge inquiries or complaints from employees, guests, and co-workers and provide solutions in a professional, customer service-driven manner.
  • Support and coordinate on-site events in Melbourne, including event calendar, room setup and teardown, vendor coordination, logistics, and supply delivery.
  • Follow property-specific security and emergency procedures and notify appropriate parties to ensure the safety of individuals in the building.
  • Coordinate with vendors and service providers who support workplace operations across both locations.
  • Communicate detailed or complex information clearly within the team and collaborate closely with the Workplace Experience Manager.
  • Perform work that has a direct impact through clearly defined duties and established procedures. Follow documented workflows and use existing processes to solve straightforward problems with limited opportunity for discretion.
  • Resolve complex problems and identify appropriate approaches to existing solutions to accomplish team objectives.
  • Coordinate and oversee all aspects of office logistics, including planning, vendor management, and ensuring minimal disruption to business operations.
  • Monitor building operations, including waste disposal, recycling, and janitorial services, ensuring compliance with policies and standards.
  • Maintain accurate asset data, schedule preventive maintenance, filing and tracking work orders, and generating and maintaining performance reports.
  • Have a direct impact on the team objectives as well as the objectives of related teams.
  • Lead by example and model behaviors that are consistent with CBRE RISE values.
  • Working onsite in the client's Melbourne office 5-days to support events. Regional travel may be required.
What You’ll Need:
  • High School Diploma or GED with up to 2 years of job-related experience.

  • Experience in managing client relationships and ensuring high levels of client satisfaction.
