Job summary

Urban Collective in Neutral Bay is seeking a Workspace Manager to lead day-to-day operations, ensuring the space is welcoming, well-presented and running smoothly to deliver exceptional member experiences.

You will own the member journey, coordinate facilities and IT access, and build strong relationships with members, suppliers and service providers while supporting events and marketing activities.

Qualifications

  • Proficiency with Canva, Mailchimp and Google Drive.
  • Strong understanding of social media platforms (Instagram, Facebook and LinkedIn).
  • Excellent written communication and attention to detail.
  • Highly organized with the ability to manage multiple tasks and deadlines.
  • Creative thinker who can work independently while collaborating with the wider team.

Responsibilities

  • Manage the member journey, including move-ins, office transitions, inductions and move-outs.
  • Build strong relationships with members and respond promptly to queries and requests.
  • Assist with membership administration, inspections, tours and sales support.
  • Welcome new members and conduct workspace inductions.
  • Conduct daily workspace checks and ensure the environment is consistently clean, organised and tour-ready.
  • Maintain unoccupied suites to a high showroom standard.
  • Coordinate maintenance, repairs and contractors to ensure the workspace operates efficiently.
  • Identify opportunities to improve the workspace, facilities and overall member experience.
  • Complete basic maintenance tasks where appropriate.
  • Act as the first point of contact for day-to-day IT queries and coordinate with external IT providers where required.
  • Manage access control systems, including maintaining the live database and issuing access cards.
  • Work closely with the Business Development Manager, contractors and service providers to resolve operational issues efficiently.
  • Support the delivery of a vibrant and connected member community.
  • Assist in planning and hosting professional, wellness and social events.
  • Encourage networking and connections between members to support business opportunities.
  • Gather member feedback and insights and identify opportunities to continuously improve the experience.
  • Promote and maintain consistently high standards of customer service across the workspace.

Urban Collective is seeking a highly motivated, organised and personable Workspace Manager to join our growing team in Neutral Bay.

This is a hands-on role for someone who takes pride in creating exceptional spaces and delivering outstanding member experiences. You will be at the heart of our day-to-day operations, ensuring the workspace is welcoming, well-presented and running smoothly, while building strong relationships with our members, suppliers and service providers.

Working closely with the Business Development Manager and the broader Urban Collective team, you will play an important role in creating a vibrant, professional and connected community.

Key Responsibilities:
Member Experience & Support

Deliver a warm, professional and personalised experience for all members and visitors.

Manage the member journey, including move-ins, office transitions, inductions and move-outs.

Build strong relationships with members and respond promptly to queries and requests.

Assist with membership administration, inspections, tours and sales support.

Welcome new members and conduct workspace inductions.

Workspace & Facilities

Conduct daily workspace checks and ensure the environment is consistently clean, organised and tour-ready.

Maintain unoccupied suites to a high showroom standard.

Monitor and replenish kitchen, office and workspace supplies within budget.

Coordinate maintenance, repairs and contractors to ensure the workspace operates efficiently.

Identify opportunities to improve the workspace, facilities and overall member experience.

Complete basic maintenance tasks where appropriate.

IT & Access Management

Act as the first point of contact for day-to-day IT queries and coordinate with external IT providers where required.

Manage access control systems, including maintaining the live database and issuing access cards.

Work closely with the Business Development Manager, contractors and service providers to resolve operational issues efficiently.

Community & Events

Support the delivery of a vibrant and connected member community.

Assist in planning and hosting professional, wellness and social events.

Encourage networking and connections between members to support business opportunities.

Gather member feedback and insights and identify opportunities to continuously improve the experience.

Promote and maintain consistently high standards of customer service across the workspace

Marketing

Assist with executing Urban Collective's marketing activities across digital channels.

Create and schedule social media content across social channels.

Develop Canva graphics and marketing collateral in line with brand guidelines.

Monitor and respond to social media comments, messages and community enquiries.

Assist with creating, scheduling, and reporting on email marketing campaigns through

Mailchimp.

Support the setup, monitoring and reporting of paid social media advertising campaigns.

Capture photo and video content at events.

Maintain content calendars and ensure marketing activities are delivered on schedule.

Maintain organised marketing assets, files and documentation.

Assist with event promotion, supplier coordination and member communications.

Support CRM updates, database management and marketing administration tasks.

Skills and Experience:
  • Proficiency in Canva, Mailchimp and Google Drive
  • Strong understanding of Social Media platforms; including Instagram, Facebook and LinkedIn
