Job summary

Calabria Family Wine Group is seeking a Winery Operations Administration Assistant to support the Winery Operations, QHSE and Winemaking teams at the Hanwood Winery. This full-time role offers a dynamic, busy environment and the chance to contribute to quality assurance and supplier documentation.

You will coordinate admin tasks, maintain registers and certificates, and help with audits and vintage periods, while working with a friendly, family‑driven culture and strong industry partners.

Qualifications

  • Strong attention to detail and accurate record-keeping.
  • Good organisational skills and the ability to follow up actions.
  • Clear written and verbal communication skills.
  • Sound Microsoft Office skills, including Word, Excel, Outlook and Teams.
  • Previous administration experience in a busy workplace.
  • Full Driver's License.

Responsibilities

  • Provide administration support across Winery Operations, QHSE and Winemaking.
  • Assist with operational planning, projects and action follow-up.
  • Maintain QA documents, registers, specifications and certificates.
  • Maintain approved supplier records, spray diaries and Sustainable Winegrowing Australia grower certificates.
  • Assist with audits, traceability exercises, mock recalls and corrective actions.
  • Coordinate samples, external testing, purchase requests and supplier documentation.
  • Communicate with suppliers, contractors and external service providers.
  • Help manage competing priorities and provide support during vintage and other busy periods.

Winery Operations Administration Assistant

This is a full-time position based at our Hanwood Winery. The successful applicant will be practical, adaptable and comfortable working in a busy operational environment.

KEY RESPONSIBILITIES:

Provide administration support across Winery Operations, QHSE and Winemaking

REQUIREMENTS:

Full Driver's License

Previous administration experience in a busy workplace.

Strong attention to detail and accurate record-keeping skills.

Good organisational skills and the ability to follow up actions.

Sound Microsoft Office skills, including Word, Excel, Outlook and Teams.

Clear written and verbal communication skills.

The ability to manage competing priorities and meet deadlines.

A professional approach to confidential information.

A willingness to assist across different teams when required.

PREFERRED BUT NOT ESSENTIAL:

Experience in a winery, food or beverage manufacturing, WHS, quality assurance or another regulated environment would be an advantage. Experience using EZY Wine or document control and quality systems would also be highly regarded.
