Job summary

Job description

MATTIR is seeking an experienced, highly organised Warehouse Specialist to oversee the end-to-end operations of our warehouse. This role is responsible for the management of inventory, logistics coordination, stock control, dispatch operations, warehouse efficiency powered through our ERP system and display and sending out customer orders/ received returns.The successful candidate will ensure our warehouse operates to best-in-class standards, supporting the broader business in delivering exceptional customer experiences and maintaining strong operational performance.

ResponsibilityDetails

Warehouse Management

• Oversee daily warehouse operations, ensuring safe, efficient, and organised workflows.
• Manage warehouse layout and space allocation using ERP system mapping tools to optimise storage and picking efficiency.
• Ensure cleanliness, organisation, and WHS compliance of the warehouse at all times.
• Lead, train, and manage a team of warehouse assistants and fulfilment staff.
• Responsible for safety and correct use of all equipment in the warehouse.
• Set up guidelines and safety procedures for all staff – organize safety checks with external agencies to ensure we are meeting standards.
• Inventory Management & ERP System Use
• Maintain accurate inventory records through ERP system, including inbound stock receiving, location mapping, stock replenishment, and cycle counts.
• Conduct regular full and cycle stocktakes, reconciling variances, and reporting findings.
• Monitor inventory turnover and ageing stock reports, proactively managing stock rotation and disposal when needed.
• Responsible for finding the most cost effective way to offload dead stock; including re-sell.
• Weekly reporting in meetings on stock labels, incoming shipments, stock takes & order fulfillment.
• Ensure all stock movements (receipts, transfers, dispatches) are completed and recorded accurately in real-time.

Fulfilment and Logistics:

• Oversee pick, pack, and dispatch processes, ensuring orders are fulfilled accurately and in line with brand presentation standards.
• Manage freight relationships and coordinate third-party logistics providers (e.g., AusPost, DHL, couriers) to ensure timely deliveries.
• Implement and monitor dispatch KPIs, ensuring on-time shipping and minimising delivery issues.
• Develop and optimise pick-and-pack procedures to reduce handling times and increase order accuracy.

Reporting & Communication:

• Provide regular warehouse, fulfilment, and inventory reports to senior management.
• Report on stock discrepancies, fulfilment performance, warehouse productivity, and freight costs.
• Liaise with Buying, Customer Service, and Ecommerce teams to support product launches, returns, and replenishment needs.
• Act as a key stakeholder in warehouse-related system implementations and upgrades.

* The Warehouse Specialist may be required to undertake tasks outside their job description as assigned by Brand Directors. These ad hoc tasks will be determined by the evolving needs and requirements of the business.

KPI Expectations:

• Inventory Accuracy: Maintain stock integrity with ≤2% variance during stocktakes.
• Dispatch Accuracy : 99% correct order pick and dispatch rate.
• Order Timeliness : 98% of orders dispatched within 24 hours of order placement (standard service levels).
• Warehouse Efficiency: Target pick and pack times per order maintained within defined SLA.
• Freight Cost Efficiency: Maintain freight cost per order within budget targets.
• System Accuracy: 100% of stock movements and transactions recorded accurately and promptly in ERP
