Resource Services Group X is seeking a proactive Victorian State Administrator to keep our projects moving by coordinating planning, reporting, finance and administration. You will act as the central point between management, staff, clients, subcontractors and suppliers to drive safe, timely delivery.

Responsibilities

  • Support project planning, budgeting and scheduling with the operations team.
  • Coordinate communication with clients, suppliers and subcontractors to meet project requirements.
  • Prepare and organise tenders, progress claims, QA/QC documentation and monthly reports.
  • Assist with recruitment, onboarding and offboarding of staff and subcontractors.
  • Maintain compliance records and optimise resource allocation for delivery efficiency.

About the Role
We are seeking an organised, proactive and commercially mindedVictorian State Administratorto support the successful day-to-day operation and growth of our Victorian business.

This is a varied and hands-on role suited to someone who thrives in a fast-paced environment, can confidently work across multiple priorities, and enjoys being the central point of coordination between management, staff, clients, subcontractors and suppliers.

You will provide high-level administrative and operational support while helping ensure projects, people, resources and processes are managed efficiently, safely and to a consistently high standard.

Operations
  • Support Operations Managers and the executive team with project planning, budgeting and scheduling.
  • Communicate and consult with clients, stakeholders and team members to ensure project requirements are achieved.
  • Attend project and operational meetings and provide support as required.
  • Assist with the preparation and coordination of tenders for subcontractors and consultants.
  • Assist with progress claims, variations and QA/QC documentation.
  • Collate information and prepare content for monthly management reports.
  • Liaise with Accounts Payable and Accounts Receivable teams and raise purchase orders as required.
  • Take accurate meeting notes and transcribe recordings, correspondence and documentation.
  • Assist with staff recruitment, onboarding and offboarding.
Resource Management
  • Ensure the right people are in the right roles, maintaining up-to-date qualifications and compliance records to optimise resource allocation and project delivery.
Logistics & Stock Management
  • Own end-to-end stock and logistics management, ensuring PPE, supplies and equipment are accurately tracked, efficiently replenished, and always available when needed.
Human Resources & Compliance
  • Drive workforce performance and accountability, keeping teams on track, supporting managers, and ensuring policies, priorities, timelines and budgets are consistently delivered.
Continuous Improvement
  • Drive continuous improvement across the business, identifying smarter ways of working and turning proven ideas into initiatives that boost efficiency, productivity and operational performance.
About You

We are looking for someone who is highly organised, commercially aware and solutions-focused, with the confidence to work with people at all levels of the business.

Experience within construction, engineering, infrastructure, facilities, or another project-based environment will be highly regarded. You will ideally have:

  • Strong organisational, time-management, written and verbal communications skills.
  • The ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and a high level of accuracy.
  • Confidence communicating with clients, suppliers, subcontractors and internal teams.
  • A proactive approach to identifying problems and finding practical solutions.
  • Strong Microsoft Office and general computer skills.
  • The ability to work independently while contributing positively to a broader team.
