Job summary

Children First in Blacktown Area is seeking a highly organised Service Support Administrator to back our Outside School Hours Care services. You will oversee enrolments, bookings and CCS processes, ensuring families move smoothly from enquiry to enrolment and billing.

The role also supports multiple sites with staff and educators. Key duties include managing inquiries, waitlists, enrolments, fees and payments, and maintaining accurate records in OWNA.

Qualifications

  • Administration experience in education and care or children's services.
  • Sound knowledge of CCS and Family Assistance Law.
  • Experience with OWNA or similar childcare CMS; Word, Outlook, Canva.
  • Excellent customer service, including supporting families who speak English as a second language.
  • Strong attention to detail and prioritisation across multiple services.
  • Working With Children Check and National Police Check, or willingness to obtain.
  • First Aid, CPR, Asthma and Anaphylaxis training, or willingness to obtain.

Responsibilities

  • Manage families and enrolments across OOSH services.
  • Handle inquiries, waitlists, bookings, tours and orientations.
  • Process enrolments and verify documentation (medical action plans, immunisation, CCS).
  • Confirm enrolments, inform services of new children and medical needs.
  • Assist families with enrolment forms, including ESL service users.
  • Oversee annual re-enrolment and vacation care bookings.
  • Manage capacity and respond to parent concerns.
  • Process fees, bonds, payments and set up advance billing.
  • Follow up overdue accounts and arrange payment plans.
  • Resolve CCS enquiries and attendance/report discrepancies.
  • Submit weekly support claims and assist accounts.
  • Maintain OWNA CMS accuracy and train educators.
  • Create newsletters, vacation care programs and Canva signage.
  • Post family updates and manage social media posts.
  • Prepare occupancy and trend reports.

Children First | Blacktown Area and Surrounding, Western Sydney | Full-time

Children First is looking for a highly organised, people-focused administrator to be the support behind our Outside School Hours Care services. This role suits someone who loves good systems, knows their way around CCS, and gets real satisfaction from making things run smoothly for families and educators.

About the role

Our OOSH services provide before school care, after school care and vacation care across multiple sites. Enrolments change often and bookings move fast. As Service Support Administrator, you'll keep the administration behind all of it accurate and on time, from a family's first enquiry through to enrolment, billing and re-enrolment. You'll also provide administrative support to our services and centres.

What you'll be doing
  • Families and enrolments
  • Managing family enquiries, waitlists, bookings, tours and orientations across OOSH services
  • Processing enrolments and checking documentation, including medical action plans, immunisation records, court orders and CCS details
  • Confirming enrolments once paperwork is complete and bonds are paid, and letting services know about new children and their medical needs
  • Helping families complete enrolment forms, including families with English as a second language or technical difficulties
  • Running annual re-enrolment and managing vacation care bookings
  • Managing capacity
  • Handling parent concerns at the first level and escalating where needed
  • Fees and CCS
  • Processing fees, bonds and payments, and making sure accounts are billed in advance
  • Following up overdue accounts and setting up payment plans
  • Resolving CCS enquiries and attendance or session report discrepancies
  • Submitting weekly support claims, and assisting accounts

What we're looking for
  • Administration experience, ideally in education and care or children's services
  • Sound knowledge of CCS and Family Assistance Law
  • Strong skills in OWNA or a similar childcare management system, Microsoft Word, Outlook, and Canva preferred.
  • Excellent customer service, including supporting families who speak English as a second language
  • High attention to detail and the ability to juggle priorities across several services
  • A current Working With Children Check (paid) and National Police Check, or willing to obtain
  • First Aid, CPR, Asthma and Anaphylaxis training, or willingness to obtain
  • Desirable: OOSH or vacation care experience, Responsible Person experience, driver's licence and own vehicle
