Job summary

Northeast Auto Group in South Australia is seeking a Service Administrator to support the service team with workshop administration, job cards, and documentation. This role focuses on accurate record keeping, customer updates and coordinating with technicians, parts and other departments to ensure smooth workflows.

You will engage with customers via phone, email and in person, help prepare invoices, assist with warranty claims and maintain dealership systems with up-to-date vehicle and customer

Qualifications

  • Previous administration or customer service experience.
  • Strong attention to detail and ability to maintain accurate records.
  • Good computer and data-entry skills.
  • Ability to prioritise competing tasks in a busy environment.
  • Current Driver's License.

Responsibilities

  • Opening, maintaining and closing workshop job cards and repair orders
  • Preparing and processing service and repair documentation
  • Assisting with warranty claims, including gathering and maintaining supporting documentation
  • Reviewing job cards to ensure labour, parts and relevant information have been correctly recorded
  • Assisting Service Advisors with customer bookings and workshop scheduling
  • Providing customers with updates regarding the progress of their vehicles
  • Processing purchase orders, invoices and other service-related administration
  • Liaising with technicians, Parts and other departments regarding current jobs
  • Maintaining accurate customer and vehicle information within dealership systems
  • Following up outstanding paperwork and ensuring jobs are ready for invoicing
  • Assisting with general customer enquiries via telephone, email and in person
  • Providing general administrative support to the Service Department as required

Working closely with our Service Advisors, technicians and workshop team, this role provides essential administrative support to ensure jobs are accurately processed, customers are kept informed and workshop documentation is completed efficiently.

This is an excellent opportunity for someone with strong administration and customer service skills who is interested in developing their career within the heavy vehicle and automotive industry.

Key Responsibilities

As Service Administrator, you will assist the Service team with:

  • Opening, maintaining and closing workshop job cards and repair orders

About You

You will be a strong fit for this position if you have:

  • Previous administration or customer service experience

  • The ability to prioritise competing tasks in a busy environment
  • Strong communication and interpersonal skills
  • A proactive approach and willingness to assist wherever required
  • The ability to work effectively with customers, technicians and other departments
  • Current Driver's License

Previous experience in an automotive dealership, heavy vehicle workshop, service department, warranty administration or similar environment would be highly regarded but is not essential.
