Job summary

The Physio, Rehab and Health Clinic in Carlton NSW is seeking a Part-Time senior medical receptionist to work Monday, Tuesday and Wednesday. You will be the first point of contact for patients, helping create a welcoming, professional atmosphere and supporting the smooth operation of the clinic.

Key duties include greeting patients, managing appointments in Cliniko, handling queries by phone, email and in person, processing payments via HICAPS/EFTPOS and maintaining accurate records.

Qualifications

• Proven experience as medical receptionist or healthcare administrative role.
• Strong organisational and time management skills.
• Excellent written and verbal communication.
• Proficiency with Cliniko clinic software and general computer systems.
• Knowledge of healthcare privacy regulations and confidentiality.

The Physio, Rehab and Health Clinic is a dynamic, busy physiotherapy clinic in Carlton looking for a Part-Time senior medical receptionist to work Monday, Tuesday and Wednesday. The right candidate will play a vital role in ensuring our clinic operates smoothly and that patients receive exceptional care from the moment they walk through our doors. As the first point of contact for our patients, you will be instrumental in creating a welcoming and professional atmosphere whilst managing the administrative backbone of our healthcare services.

What you'll be doing

Greeting patients warmly and professionally, ensuring they feel welcomed and comfortable upon arrival.

Managing patient appointments, scheduling, confirmations and rescheduling using clinic management software "Cliniko'.

Handling patient inquiries via phone, email and in-person with professionalism and empathy.

Processing payments via HICAPS/EFTPOS and maintaining financial records.

Managing clinic supplies and liaising with suppliers to ensure stock levels are maintained. Unpacking and storing stock as needed.

Updating patient information and ensuring all documentation is uploaded into "Cliniko".

Invoicing and liaising with case managers for Workers Compensation and Third-Party Clientele.

Maintaining a clean and organised reception area that reflects the clinic's commitment to hygiene and professionalism.

Contributing to towel supplies for physios by putting loads of washing and drying throughout the day.

What we're looking for

Proven experience working as a medical receptionist or in a similar healthcare administrative role

Strong organisational and time management skills with the ability to manage multiple tasks simultaneously

Excellent communication skills, both written and verbal, with the ability to interact professionally with patients and staff

Proficiency in using medical administration software and general computer systems

Knowledge of healthcare privacy regulations and commitment to confidentiality

A compassionate and patient-focused approach to patient care and interaction

Ability to remain calm and composed in a busy healthcare environment

Attention to detail with strong accuracy in data entry and record-keeping

Customer service experience in a healthcare or clinical setting is highly valued

Flexibility and willingness to support the team during peak periods
