Job summary

Monaro Medical Practice in Cooma is seeking a Senior Medical Administrator to act as the 2IC for reception and administration. This permanent part-time role focuses on supporting daily operations, guiding the administration team and maintaining high standards of patient care.

You will oversee reception workflows, patient inquiries, appointment management and clinical correspondence, working closely with doctors and nurses to deliver a seamless patient experience.

Qualifications

  • Experience in a senior medical administrator or general practice reception role.
  • Strong understanding of appointment management and Medicare billing workflows.
  • Proficiency with Best Practice medical software or similar systems.
  • Ability to guide and set standards for junior reception staff.
  • Highly organized with attention to detail and follow-through.
  • Excellent communication and problem-solving skills.

Responsibilities

  • Provide professional reception services to patients, doctors and visitors.
  • Manage calls, patient inquiries, bookings and front desk workflow.

Join a Supportive General Practice Team in Cooma

Are you an experienced Senior Medical Administrator who enjoys providing excellent patient service, supporting a busy front desk and helping the practice run smoothly?

Monaro Medical Practice is seeking a capable and proactive Senior Medical Administrator to act as a reliable second-in-charge for reception and administration, supporting daily operations, guiding the administration team, and helping maintain a high standard of patient care and service.

This is a permanent part-time opportunity suited to someone with strong general practice administration experience who is confident, organised and ready to step into a senior support role with additional responsibility, accountability and leadership within a friendly team.

About the Role

As Senior Medical Administrator, you will be a key member of the front-of-house team and a trusted 2IC supporting reception workflow, patient enquiries, appointment management and day-to-day administrative processes.

You will work closely with the doctors, nurses and reception team to ensure patients receive a professional, welcoming and efficient experience from their first point of contact.

Key Responsibilities
Reception Operations & Patient Experience
  • Provide friendly, professional and efficient reception services to patients, doctors and visitors
  • Manage incoming calls, patient enquiries, appointment bookings and day-to-day front desk workflow
  • Support appointment book management, patient flow and provider utilisation
  • Respond to patient concerns and escalations calmly, respectfully and in line with practice processes
  • Maintain a tidy, organised and welcoming reception area
  • Support clear communication between patients, doctors, nurses and administration staff
Administration, Compliance & Systems
  • Process patient billings, Medicare claims, private accounts and receipts accurately
  • Maintain accurate patient information, correspondence, recalls and reminders in Best Practice
  • Support scanning, filing, results management and clinical correspondence workflows as directed
  • Assist with maintaining practice policies, procedures and accreditation-related records
  • Assist with reception rosters, leave cover and daily task allocation where required
  • Identify and report issues affecting reception workflow, patient service or practice presentation
Second-in-Charge Responsibilities
  • Act as a day-to-day second-in-charge for reception and administration, providing practical guidance and support to team members
  • Assist with training, onboarding and upskilling reception team members in practice systems, procedures and expected service standards
  • Promote a positive, respectful and patient-focused team culture
  • Manage minor operational issues where appropriate and elevate staffing, workflow or patient service concerns to the director as required
  • Monitor daily front desk priorities, communication and task completion to support consistent practice operations
  • Contribute ideas to improve reception workflow, patient communication and administrative efficiency
About You

We are looking for someone who brings strong medical administration experience, confidence with practice systems and the maturity to be a dependable second-in-charge for the reception and administration team:

  • Previous experience in a senior medical administrator, medical administration or general practice reception role
  • Strong understanding of appointment book management, Medicare billing and general practice workflows
  • Experience using Best Practice medical software, with confidence learning new systems and workflows
  • Ability to support, guide and set the standard for other reception team members in a respectful and practical way
  • Highly organised with strong attention to detail and follow-through
  • Strong communication, problem-solving and customer service skills
  • Comfortable balancing hands-on reception duties with senior administrative, team support and second-in-charge responsibilities
  • Professional, calm and solutions-focused under pressure
  • Committed to patient confidentiality, respectful communication and high-quality care
  • Availability to work four to five days per week across rotating open and close shifts between 8:00 am and 6:00 pm
