Description du poste

Senior Governance/Secretariat Advisor - 6 month hourly rate contract

Our client is a major infrastructure organisation delivering a large-scale transport program. The organisation operates at a fast pace, where its governance team supports a steady rhythm of scheduled forums and meetings, alongside a high volume of ad hoc requirements.

About the role

The Senior Governance Advisor is a secretariat-driven role providing governance, reporting and meeting support to the organisation's senior program and project governance forums, including project control boards, sub committees, working groups and management meetings.

You will own the full secretariat cycle: preparing for meetings, issuing agendas and papers, following up outstanding agenda items, taking and finalising minutes, and chasing actions through to completion. You will also be expected to chair meetings where required. Success in this role depends on your ability to keep forums running effectively and decisions moving, often with competing deadlines and incomplete information.

Reporting to the Program Governance Manager, you will work with senior internal and external stakeholders on a daily basis. The position has no direct reports.

Key responsibilities
  • Provide end-to-end secretariat support for multiple senior project and program governance entities, including meeting preparation, agendas, papers, minutes and action items.
  • Proactively track, follow up and secure outstanding inputs, actions and reports from stakeholders, using persistence, sound judgement and strong interpersonal skills to meet tight timeframes.
  • Chair governance and management meetings as required, ensuring discussion is focused and outcomes are clearly recorded.
  • Prepare high-quality governance documentation, including briefing notes, presentations, memoranda and submissions, while maintaining discretion and confidentiality.
  • Maintain governance registers, including action, decision and implementation registers, ensuring accuracy, completeness and traceability.
  • Lead the preparation and distribution of governance look ahead schedules and activity calendars.
  • Collate and quality assure reports, briefings and information papers to ensure they are accurate, timely and fit for purpose.
  • Engage with internal and external stakeholders at all levels to support streamlined governance processes and effective information flow.
  • Provide contemporary governance advice to management and project teams, and contribute to improvements in governance and reporting processes.
About you

You will have a very strong governance base and a proven secretariat background, gained in any sector. Equally important is your approach to work. You will be a go-getter who is flexible, adaptable and unfazed by change. You will have:

  • Demonstrated experience providing high-quality secretariat support to multiple senior governance entities, including executive and program-level forums.
  • A sound understanding of corporate governance principles, including meeting coordination, minute taking, document control and the preparation of papers to organisational standards.
  • The ability to work in the grey. If a deadline is days away and you hold only half of the information required, you will work through the gaps, make sound judgements and secure what is missing without waiting to be directed.
  • Strong stakeholder engagement skills, with the confidence to follow up and influence senior internal and external stakeholders.
  • Excellent written and analytical skills, with the ability to identify key issues and prepare clear, concise and decision-focused committee material.
  • Proven organisation and time management skills, with the capacity to manage competing priorities autonomously in a fast-paced environment.
  • Proficiency in the Microsoft Office suite, including PowerPoint and SharePoint, and experience with document and records management systems.

This is a fast-paced environment with a team that keeps moving. We are looking for someone with the resilience and personality to thrive in that setting.
